Job Description: Executive Assistant for Private Equity Executive
Position: Executive Assistant
Location: New York, NY
Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive professional and personal support to a senior executive in a private equity firm. The ideal candidate will possess exceptional communication skills, a high level of discretion, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Primary Responsibilities:
Calendar Management:
Maintain and manage an ever-changing calendar for the executive, including scheduling meetings, conference calls, and appointments.
Prioritize meeting requests to ensure the best use of the executive's time.
Travel Arrangements:
Arrange and coordinate travel logistics, including private and commercial aviation, ground transportation, and creation of detailed itineraries.
Prepare and manage expense reports related to travel.
Communication:
Handle confidential materials related to clients, board members, and employees.
Represent the executive through professional correspondence with external stakeholders via phone, email, and other communication channels.
Communicate directly on behalf of the executive to ensure smooth and clear interactions with internal departments and external constituents.
Meeting Coordination:
Plan and coordinate meeting details, including location, IT and media needs (video conferencing software and links), catering, and other necessary arrangements.
Ensure all logistical aspects of meetings and events are handled efficiently.
Administrative Support:
Provide general IT support and logistics for the executive when needed.
Maintain databases of travel preferences, deal sources, and professional support groups.
Track and maintain physical and electronic documents related to sector expertise and deal information.
Help prepare presentations using PowerPoint and other software tools.
Personal Support:
Assist with personal tasks and errands as needed, ensuring a seamless balance between professional and personal responsibilities.
Manage personal appointments and schedules, including healthcare, family events, and other personal commitments.
Skills and Qualifications:
Experience:
At least 5-8 years of experience as an Executive Assistant, preferably in a private equity or professional services firm.
Proven ability to handle sensitive information with the highest level of discretion.
Technical Skills:
Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook).
Tech-savvy with the ability to quickly learn new software and tools.
Communication:
Excellent written and verbal communication skills.
Ability to engage with people at all levels, demonstrating professionalism and approachability.
Organizational Skills:
Highly organized with a strong attention to detail.
Ability to manage multiple tasks and prioritize conflicting demands effectively.
Personal Attributes:
Proactive and able to work independently with minimal supervision.
Flexible and adaptable to changing priorities and demands.
Dependable and enjoys being busy, with a strong work ethic.
Education:
College degree required.
Other Requirements:
Must be available after hours to assist with urgent tasks or travel-related needs.
Ability to work in a fast-paced, dynamic environment while maintaining a high level of accuracy and quality.
