As a Travel Operations Assistant, you will be an integral part of our team, dedicated to creating unforgettable travel experiences for our clients. This role focuses on meticulously planning and coordinating Fully Independent Traveler (FIT) private trips and group excursions. You will work closely with clients to understand their preferences and needs, ensuring their travel experiences are personalized and exceed expectations. This position requires a passion for travel, exceptional organizational skills, and a commitment to delivering the highest level of client satisfaction.

Key Responsibilities
Assistant to Sr Travel Advisors: Provide Customer Service support to the Senior Travel Advisors and their clients.

Create Itinerary Design Documents: Using Canva you’ll create travel brochures for our clients that we use for client consultations to showcase the unique experiences, accommodations, transportation, and dining reservations that align with client preferences.

Vendor Coordination: Liaise with hotels, tour operators, local guides, and other service providers to arrange all aspects of clients' travel plans. Negotiate rates and manage bookings to ensure high-quality experiences within client budgets.

Travel Support: Provide ongoing support to clients before, during, and after their trips, including troubleshooting any issues that arise and offering recommendations to enhance their travel experience.

Documentation and Compliance: Prepare and manage all travel documentation, ensuring accuracy and compliance with travel policies and regulations. This includes visas, travel insurance, and health and safety guidelines.
Market Research: Stay informed about emerging travel trends, new destinations, and unique experiences to continuously improve and innovate our travel offerings.

Feedback and Improvement: Collect and analyze client feedback post-trip to identify areas for improvement and ensure excellence in service delivery.

Qualifications and Skills
Experience in Tourism, Hospitality, Business, or a related field.
2+ years of experience in an Administrative role
Exceptional organizational skills and attention to detail.
Strong negotiation and problem-solving skills.
Excellent verbal and written communication skills.
Proficient in travel planning software and tools.
Passionate about travel with a broad knowledge of various destinations, cultures, and travel trends.
Ability to work independently and as part of a team in a fast-paced environment.
