As technicians for a hosting company for 17 years, we've become pretty knowledgeable in the area of email, and how to access, move, archive or otherwise manipulate email accounts. From the individual email in someone's account's sub-folders, up to the details that allow sending and receiving to/from the right servers.. we are experts. FOR MIGRATION OF EMAIL BETWEEN PROVIDERS, WE HAVE A SIMPLE FORMULA designed to be UNLIKELY TO DISTURB STANDARD USE during migration, and which optionally includes DELIVERY OF A MAIL SNAPSHOT FOR THE WHOLE DOMAIN: 1. we will make an appraisal of the total cost, which will include 3 days + 3 hours of support, based on the source/destination services, number of email accounts, total size of all accounts, and special requests (ie. "instead of copying the adam email account, copy all of his email to a new folder in my box called 'adams emails'") 2. you will provide information to log in as admin to both email services, we will confirm login (and prove that we have done so by screen share, if you like). we will verify our estimates around the size of the job and make adjustments to the cost estimate as necessary. you will then pay the first milestone, 1/4 of the estimated cost. 3. A UNIQUE OFFER: we will set up a virtual machine, in a manner agreed by both parties, as a mail storage/backup machine. then, we will execute a copy of all existing mail to this back-up VM. we will create the target email addresses on the destination server. when you are satisfied all is proceeding to plan, you will pay the 2nd milestone (1/4 of estimate). 4. we will copy all mails from the storage/backup VMs to the correct accounts at the destination email provider. we will also secure certain DNS access and present you a more detailed 24-hour plan, tailored to your domain. upon verifying emails arrived at destination, and defining the plan to mutual agreement, you will pay the 3rd milestone. 5. we will change DNS so that new incoming mail goes to the new destination. when that is working, and emails stop coming to the old service, we will execute another copy of emails from the backup server to the destination (so that any last emails going to the old service are copied). we will deliver the backup server to you (or destroy it -- your choice), and then you will pay the final milestone. 6. the day the DNS is changed, your 3 days plus 3 hours of support begins. during the 3 days, you can contact me for help around the transition as much as needed. after those 3 days (and for 30 days following), you have 3 hours of pre-paid assistance, billed in 30 minute increments. this should be enough to get you past any pain points.
