I want to design an Excel spreadsheet for sorting large groups of insects in which the species look very similar but vary in certain details. Users could choose from a list of "characters" or traits that apply to each specimen, e.g. Long Antenna, Dark Wings, Bristles on Legs, etc They will be able to "drill down" from a few main traits to more specific ones, yielding a pared-down set of possible names.
The attached file is a mockup of how the working file might look. The "Matrix Edit" sheet serves as a database. The left column lists about 250 categories, e.g. Genus X, Genus B, Genus M, etc. The rows contain cells for "characters" or traits, e.g. Long Antenna, Dark Wings, Bristles on Legs, etc. There are about 10 to 30 traits that might be chosen for a particular specimen; others will be added, so there could eventually be 50 or more.
The "First Set Characters" sheet has 10 choices for the most commonly found characters. Users choose them by highlighting, entering "X," or whatever. The "Click here" cell would cause the program to display all matching records (rows) from the Matrix on a third sheet, "First Set Names". In some cases, this would pare the choices down to just a few and might be all that is needed. In most cases though, the user would pare the list further by choosing "Next Character Set." Depending on the results, there may be a third or fourth round of selection to get down to two or three likely records.
Each name (genus) will have a Description, but only a couple are shown in the mockup. Each character and each name will eventually have links to photos. I'm not sure whether the photos can be in Excel; maybe they need to be in a separate app or maybe the link will go to an online page.
This may seem a bit odd for those never exposed to entomology or natural science, so please don't hesitate to ask questions.
