Our main line of business is to sell and manage homes for large institutions. In doing so, we incur many expenses on many different homes on a daily basis that we are reimbursed on. We need to request reimbursement within 30 days of incurring in each institution's specific way. We have about 10 main different clients that have different methods, about 200 properties on average and each property has about 2 invoices each month from utility bills to contractor's maintenance. We have not used outside help to complete these tasks in the past so input is requested on how best to share data and complete these reimbursement requests. Here are some of the tools that we already have and can be used: box.com (cloud storage), quickbooks, google apps, salesforce. We will have to train the user per account. Looking for a VA to go through scanned and emailed receipts from my evernote folder. Record them in an excel spreadsheet with dates, expense categories, gst amount. Also want the tagged and filed in corresponding evernote notebooks/stacks. Some of the receipts won't be valid expense so you will need to be able to distinguish taxable purchases from none taxable ones.
