We are in need of a Document Management System (DMS) / Electronic Document and Records Management System (EDRMS). The DMS/EDRMS will be used to process users application for passports, visas, and other travel related documents.
The selected contractor must know his/her proposed system's ins and outs. Must be able to get the basic system configured quickly and offer long term support.
We require a system with at least the following functionalities:
- CUSTOM DATA FIELDS
Ability to create forms with custom data fields. Custom data fields support must include typical HTML form fields, such as text box, text area, checkboxes, radio boxes, selects, etc. We also need to support tabular data / repeating fieldset / repeating section, wherein rows of data with custom columns can be inputted into the system. Ideally, the form can dynamically change based on certain inputs to the custom data fields (e.g. if a certain radio data field is selected, then certain other custom data fields will show/hide).
- SELF-SERVICE PORTAL
Ability to allow users outside the organization to log into the system and populate forms and upload documents
- DOCUMENT GENERATION
Ability to output various fillable PDF forms with data captured by the system's custom data fields.
- WORKFLOW SUPPORT
Ability to support custom workflow wherein the document goes through a predefined process.
Must be an web based system. No desktop application installation requirement.
- CRM / EMAIL / CALENDAR / TASK
Should have CRM functionality, with ability to send/receive email within the system, add calendar events, tasks, etc.
