Virtual Administrative Assistant
United Reseller Group is seeking an Administrative Assistant to work in our Online Store. The Administrative Assistant will perform a variety of administrative and clerical duties to assist
staff to whom assigned according to established process, policies and procedures.
Must be able to perform his/her essential duties in a fast paced environment and adapt to the daily operational changes given the needs of the Firm to include meeting the time constraints of the staff.
Ensures a high satisfaction level for those requesting assistance.
Provides timely follow through on assigned responsibilities and tasks.
Maintains strict confidentiality at all times consistent with the Firm’s policies and procedures.
Displays a courteous, cooperative and approachable demeanor; gets along well with others.
Provides assistance to for additional work when workload permits.
Is a support advocate of supervisor and co-workers/team.
Coordinates meetings to include preparing agenda, handout materials, transcribing minutes and other follow-up requests.
Performs clerical duties such as making copies, scheduling appointments and maintaining calendars, providing information to callers/clients/staff, composing and typing routine correspondence, reading and routing incoming mail.
Edits and transcribes various documents, correspondence and other records.
Organizes and maintains file system; files correspondence; ensures proper indexing and filing of documents and other records in office filing system. Opens and closes files according to the Firm’s procedures.
Answers and screens phone calls as requested, arranges conference calls
Arranges travel schedules and reservations.
Coordinates and submits expense reimbursements on a monthly basis.
Assists in entering time for assigned documents.
Reviews invoices and pre-bills prior to submission, performs edits per staff instructions and forwards to due dates.
1-2 years Administrative Assistant experience working in a professional services Firm.
Ability to multi-task, prioritize and work efficiently
Ability to work independently and be a self- starter, energetic, excellent grammar, spelling and proof reading skills
Ability to listen, communicate (written and verbal) and follow-up effectively with all staffing levels and attorneys
Flexibility to adapt to all situations, ability to work weekends or evenings as needed
Ability to perform at high levels in a fast paced, changing work environment
Ability to anticipate work needs and follow through with minimum direction
Typing of 70-80 wpm
Excellent Knowledge of Microsoft Office and Excel
