Hiring: Admin Manager / AR Manager / Bookkeeper (Long-Term Role)
We are a fast-moving service business seeking a highly organized, assertive, and results-driven Admin + Accounts Receivable Manager/Bookkeeper. This role is for someone who is not afraid to lead, enforce standards, hold others accountable, and keep financial systems airtight.

Responsibilities Include:
Accounts Receivable & Financial Management
Manage client invoicing, payment tracking, and follow-ups.
Send payment reminder letters through our online system to late payers.
Ensure no work is performed without valid client payment documents and payment method on file.
Provide guidance to leadership on payment terms, billing structure, and financial best practices.
Perform bookkeeping functions and reconcile accounts on schedule.
Compliance & Tax Responsibilities
Ensure 1099 paperwork is completed and properly managed.
Coordinate with our CPA and oversee required filings (local, state, franchise tax, laundry tax, etc.).
Handle annual reports, franchise filings, and compliance documentation deadlines.
Team & Operations Leadership
Attend daily Zoom or Teams meeting at 8:30 AM EST (mandatory).
Ensure remote teams and field operations are aligned and informed.
Be engaged enough with operations that you can step in as a backup admin when needed.
Hold team members accountable to administrative and financial processes.
Required Skills & Qualities
You must have:
Clear, fluent English communication
Strong bookkeeping and accounting experience
Experience with AR follow-up systems and client payment enforcement
Ability to work independently without constant supervision
Strong sense of ownership and urgency
A no-nonsense attitude — you get things done and do not tolerate chaos
Proactive approach to solving problems before they become issues
