Part-Time CPA – Compliance & Controller Support (10–20 hrs/month)

About Us
We own and operate a portfolio of value-add commercial/industrial properties and related entities. We already have internal bookkeeping in place and are looking for a part-time CPA to provide higher-level compliance, tax, and light controller support.
This role is ideal for a CPA who enjoys working with growing real estate operators and wants an ongoing, predictable, part-time client.
Role Summary
You will be responsible for:
1. Keeping our books and entities “tax-ready” and compliant
2. Acting as a light controller over our internal bookkeeping, giving the owner clear financial visibility and confidence.
You won’t be doing day-to-day bookkeeping; you’ll review, adjust, and guide.
Key Responsibilities
1. Compliance & Tax (A)
Review internal books (monthly or quarterly) for:
Accuracy and consistency of coding
Correct treatment of capital expenditures vs. expenses
Proper recording of loans, interest, amortization, and distributions
Prepare and/or review tax filings:
Federal and state returns for multiple entities (LLCs/partnerships, etc.)
Owner’s personal return, including K-1s from entities
Extensions and any catch-up/amended filings if needed
Maintain a simple, shared tax calendar, including:
Return due dates
Estimated tax payment dates
Entity renewals/annual reports if applicable
Proactively request information needed to file on time and avoid surprises.
Respond to basic tax notices or correspondence, and advise on next steps.
2. Light Controller / Finance Support (C)
Close oversight (monthly or quarterly):
Review P&Ls and balance sheets by entity
Propose and post adjusting journal entries (depreciation, accruals, reclasses, etc.)
Flag issues or unusual items in plain language
Coordinate with internal bookkeeping:
Define and document coding rules and simple SOPs for the bookkeeper
Ensure consistency across entities and over time
Help clean up any legacy issues from prior CPA/bookkeeping
Owner-facing reporting:
Prepare a simple summary for the manager:
“Here’s what changed”
“Here’s what looks off/needs attention”
“Here are my recommendations”
Join a regular review call (monthly or quarterly) to walk through results
Maintain basic schedules and support:
Loan and interest schedules
Depreciation schedules (high level; detailed cost seg can be coordinated externally if needed)
Support for lender requests (financial statements, DSCR calcs, etc.)
Help improve process and organization over time so monthly/quarterly closes get smoother and faster.
What Success Looks Like
Books are clean, consistent, and tax-ready across all entities.
All returns and payments are filed on time, with a clear plan for anything late or inherited from the prior CPA.
The owner has a clear, simple view of performance and no longer feels uncertain about “what’s really going on” in the numbers.
The internal bookkeeper knows exactly how to code and what to send, reducing back-and-forth and rework.
Qualifications
Active CPA license (required).
5+ years of experience in public accounting or outsourced CFO/controller roles.
Strong background in:
Small business and/or real estate entities
Partnership/LLC returns and K-1s
Comfortable working from client-prepared books (QuickBooks):
You review, fix, and guide
Excellent written and verbal communication. You explain issues and options in plain English, not just tax jargon.
Highly organized and proactive about deadlines, follow-ups, and missing info.
Prior experience with real estate investors/operators is a big plus, but not strictly required if you’re comfortable learning the nuances.
Time & Compensation
Estimated time:
Startup/cleanup phase: may be at the higher end of 20+ hrs/month for the first 2–3 months.
Ongoing steady state: ~10–20 hrs/month.
Compensation:
Hourly or monthly retainer, depending on your preference and scope.
