Our client's are 7- and 8-figure e-com brands. We help them crack the code to scale their businesses profitably to 8-figures.
Now we're looking for a Personal Executive Assistant for our founder Dominik
๐ Your Role as a Personal Executive Assistant
๐ Mission
To take over any type of personal, planning, coordination, accounting and research activities from our founder so he can focus more on the business and free up his time.
Main Success-KPI โญ๏ธ

Time freed up in Founderโs Calendar
โ
Reduction of touchpoints from the founder with tasks that are not strategic.
โ
# of issues resolved without escalation per month and without founder's assist
โ
Average response time to messages from the founder is less than 60 min
Responsibilities ๐
โ
Execute on tasks delegated to you by the founder based on priority
โ
Any problems and challenges that arise are dealt with independently
โ
Finish the new tasks you get as soon as possible and with great attention to detail.
โ
1-3-1 Rule: Every time you have ONE problem, come up with at least THREE well-thought-out solution proposals and choose ONE recommended solution.
Tasks for example include:
Accounting:

collect invoices and upload them to Drive Folder every month
โ
check with accountant for missing invoice
โ
discover missing invoices
Controlling:
โ
add costs to cost tracking sheet
Invoicing:
โ
check payments and send reminders
โ
connect incoming revenue with invoices
Hiring:
โ
invite people to Upwork job after certain criteria
โ
first profile screening
Research, communication tasks & admin tasks:

Booking appointments, flights, hotels
Manage daily life of Founder:

Planning and coordinating travels, booking hotels, flights, etc.

You have relevant experience as a Personal Assistant directly supporting a CEO / Founder
Bonus: You are successfully working as one now and want to take on another client that you support to fill up your week and be a PA full time
You have excellent speaking and writing skills in English
Nice to have: German
You are an expert at using modern tools like ClickUp, and Todoist and use it to communicate and work on tasks efficiently.
