Job Summary:
The Program Manager will oversee the development, coordination, and execution of the company’s ventures, projects, and implementations. This role involves direct support to business development efforts, management of the company’s Information Systems (IS), and implementation of systems and processes that improve efficiency and collaboration. The Program Manager will also play a key role in monitoring progress, aligning departmental objectives, and ensuring timely delivery of projects.
Additionally, the Program Manager is expected to provide dedicated support to the initiatives and programs of Virtual Kelly, Inc., ensuring their successful implementation and integration into company-wide systems. She will also serve as an Account Manager for Virtual Kelly, making Discovery Calls with interested clients and managing Virtual Assistants (VAs) under the Virtual Kelly programs.

Key Responsibilities
1. Project Development Support
• Provide strategic and operational support to the planning, execution, and evaluation of company ventures, projects, and implementations.
• Collaborate with project leads to ensure objectives, timelines, and deliverables are met.
• Assist in identifying growth opportunities for new programs or expansion of existing initiatives.
2. Coordination & Systems Alignment
• Coordinate with all departments to streamline workflows and improve inter-departmental collaboration.
• Ensure clear communication channels across all teams to avoid overlaps, delays, and inefficiencies.
3. Information Systems & MIS Management
• Manage and monitor ClickUp dashboards and trackers for project oversight.
• Research and implement new technologies and tools that improve operations and service delivery.
• Develop comprehensive tracking systems for new programs, projects, and implementations.
• Conduct periodic reviews of IT/IS systems to ensure alignment with company goals.
4. Policies & Procedures
• Create and document Standard Operating Procedures (SOPs) covering communication, onboarding, training, and integration with other departments.
• Ensure all SOPs are updated regularly and communicated effectively to relevant teams.
5. Program & Initiative Support for Virtual Kelly, Inc.
• Work closely with the Virtual Kelly team to develop, track, and implement their initiatives and programs.
• Support integration of Virtual Kelly processes into the company’s MIS and IS systems.
• Serve as Account Manager for Virtual Kelly, conducting Discovery Calls with prospective clients from the website, social media platforms, and texting campaigns.
• Manage and oversee Virtual Assistants (VAs) under the Virtual Kelly program, ensuring high performance and client satisfaction.
• Provide feedback and recommendations to improve Virtual Kelly’s operations and scalability.
6. Reporting & Recommendations
• Provide regular reports to the CEO summarizing program status, progress, and issues requiring executive attention.
• Present recommendations for process improvements, cost efficiencies, and innovation opportunities.
7. Additional Responsibilities
• Support business development activities through research, coordination, and partnership engagement.
• Monitor program budgets, timelines, and performance metrics.
• Ensure compliance with company policies, industry standards, and applicable regulations.
• Facilitate training and onboarding for teams involved in new projects or systems.
• Represent the company in meetings, presentations, or negotiations as directed by the CEO.
