Summary

Overview

We are designing two major modules for our construction technology platform:
1) Document Management & Workflow (DMSW)
Comparable to: Aconex, Procore, OnSite, Asite, ProjectWise
2) Cost, Commercial, & Project Management
Comparable to: Procore Financials, Oracle Unifier, SAP PM, Contract Management Tools

We need senior-level, real industry practitioners to review our product, evaluate workflows, and highlight gaps based on real project experience.

Scope 1: Document Management & Workflow (DMSW)
You will review and advise on:
- Product Evaluation
- Usability and feature gaps vs. Aconex/Procore/OnSite
- Metadata standards, document numbering systems, revision control
- Folder structures for design, construction, procurement, HSE, handover
- Transmittal workflows, submittal workflows, approval cycles (RFI, MIR, WIR, NCR, ITP)
- Sequence IDs, document codes, classification systems
- Review/approval workflows: consultant → PMC → client
- Version history, audit trail, comment tracking, red-lines
- Templates (optional but preferred)

Provide examples (redacted is fine) of:
-Transmittal sheets
-Submittal logs
-RFI templates
-Document numbering/coding structures
-DC manual or workflow diagrams

Scope 2: Cost, Commercial & Project Management System (Procore / Unifier Style)
You will review and advise on:
-Cost Management
-Work Breakdown Structure (WBS) & CBS standards
-Budget setup, revisions, cost codes, and contract budget items
-Direct cost workflows, cost forecasting, cost-to-complete
-Change Orders (CO), Variations, Claims
-Invoices, payment certificates, retention, and progress billing
-Integration with schedule and progress
-Commercial Management
-Contract creation & contract package structure
-Procurement workflows, bid evaluation, vendor comparison
-Material tracking, BoQ, subcontracts, purchase orders
-Risk registers & commercial risk controls
-Baseline vs actual analysis
-Project Management Functions
-Workflow for Change Events
-NCR/CAR linkage to payment
-Progress measurement (physical/financial)
-Integration with design + document workflows
-Approvals matrix and delegation of authority
-Reporting dashboards for cost, schedule, progress, risk
-Templates (optional but preferred)

-Cost reports
-Change order logs
-Progress payment templates
-Procurement workflow diagrams
-Commercial approval workflows

Deliverables
  • What You Will Do (for both scopes)
  • During the 3 one-hour sessions:
  • 1. Provide Expert Review
  • -Walk through our existing platform
  • -Identify missing workflows, metadata, or process gaps
  • -Compare against industry best practices
  • -Suggest improvements for competitive differentiation
  • 2. Validate Real Construction Workflows
  • -Verify if our approach matches how projects operate
  • -Highlight risks or blockers that would frustrate real users
  • -Suggest improvements based on your project experience
  • 3. Demonstrate Your Experience
  • -We require proof of real-world experience, such as:
  • -Screenshots of past work (with confidential data hidden)
  • -Templates, workflows, process maps, or logs you've created
  • -Examples of DMS or Cost/Commercial systems you configured
  • -Reference projects (countries, project scale, contract type)
  • (All examples can be redacted to protect client confidentiality)
