SUMMARY & OBJECTIVES The Accounting Specialist position is an ideal role for a candidate with experience in an office environment and potentially seeking growth in the Real Estate Industry. The Accounting Specialist supports the Accounting Department and general office operations with day-to-day duties including; but not limited to; answering phone calls, responding to clients and tenant requests, supporting with compiling financial statements, and generally supporting the Executive Team of Coastline Equity. An ideal candidate for AA would have experience and proficiency in the Microsoft Office Suite. ESSENTIAL FUNCTIONS 1. Demonstrate a positive, professional, and customer service focused attitude about the company with coworkers, tenants, clients, and the public whether contact is by mail, telephone, electronic or in person. 2. Perform supportive tasks alongside the Controller and AP/AR Manager. 3. Draft correspondences and other formal documents. 4. Plan and schedule appointments and events. 5. Manage and order office supplies from approved sources and with a cost-savings approach. Utilize approved inventory list as a guide. 6. Support the Controller with annual corporate reporting documents. 7. Input all received tenant checks into appropriate software. 8. Mail…¬¬ 9. Answer inbound telephone calls. 10. Develop and implement organized filing systems. 11. Perform all other office tasks as aasigned. 12. Constantly strives for improvements in work process and results to better meet client's expectations. 13. Maintain complete and accurate property files and records, with an emphasis on documentation for future reference. Provide prompt, detailed and accurate general status reports on all properties, tenants, and vendors assigned as requested. Documentation should be completed in both the lease folder and online AppFolio database. 14. Use various forms of technology, software, and communications styles to review tasks and perform in a timely manner. 15. Submit all requested paperwork, invoices, and documentation is an appropriate and timely manner. 16. Perform quality customer service to tenants, prospective tenants, clients and the general public. 17. Establish and maintain collaborative working relationships between departments, with co-workers and particularly with other members of a project team. Prepare for team meetings, in advance, and maintain organizational excellence and detailed accuracy. 18. Keep abreast of new technologies, systems and procedures related to property management. WORK ENVIRONMENT This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. This position will include a standard office environment. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
