Click Up Implementation, CRM & AI Workflow Automation Specialist

I own a luxury interior design studio and retail Design House in the San Francisco Bay Area. We already have a ClickUp account, but I need a hands-on implementation specialist who can organize, configure, integrate, and launch the system for my small team. This is not a request for a lengthy business-analysis or strategy project. We understand our immediate operational needs and are looking for someone who can translate them into a clean, practical system that we will actually use. PHASE ONE: CLICKUP AND OUTLOOK IMPLEMENTATION Our immediate priorities are to: * Organize our existing ClickUp workspace around interior design projects, retail operations, client development, and internal business tasks. * Establish clear projects, task ownership, priorities, due dates, recurring tasks, statuses, and dashboards. * Connect ClickUp appropriately with Microsoft 365 and Outlook so tasks, deadlines, and calendar commitments work together. * Create a practical system for converting design meetings, client meetings, site visits, and internal notes into assigned ClickUp tasks. * Configure one active project as the working model before expanding the system across the business. * Train the owner and small team on the completed system. * Provide written documentation and short-term troubleshooting support following implementation. PHASE TWO: CRM, COMMUNICATIONS AND AI AUTOMATION After the foundational ClickUp system is working, our next priority is developing a connected CRM and communications workflow. We currently use or are considering integrating: * ClickUp * Dubsado * Microsoft Outlook * ChatGPT * Claude * Studio Designer * Shopify We would like the specialist to evaluate and implement the best relationship between ClickUp and Dubsado. Dubsado may remain the client-facing CRM for inquiries, forms, proposals, contracts, and payments, while ClickUp becomes the central operational hub. We are open to the best architecture, but want to eliminate duplicate entry and disconnected information. The desired future workflow includes: * Capturing and tracking new inquiries, prospective clients, referral sources, follow-ups, and project opportunities. * Automatically creating the appropriate ClickUp records and internal tasks when a lead reaches a defined stage. * Establishing reminders and follow-up sequences so potential clients and important relationships do not fall through the cracks. * Using AI to prepare context-aware draft replies to inquiries and common client communications. * Creating a one-click review-and-approve process through which the owner can review, personalize if needed, and send the response without having to compose it from scratch. * Using ChatGPT or Claude to extract decisions, action items, owners, deadlines, and follow-ups from meeting notes. * Requiring human review before AI-generated tasks, client replies, or project information are finalized or sent. * Connecting approved tasks and communications to the correct client and project record. * Maintaining appropriate security, permissions, documentation, and safeguards. The ultimate goal is a system that reduces the amount of operational thinking and manual follow-up required from the owner while preserving a highly personal, polished, and luxury-level client experience.
