Part-Time NIH SBIR Grant Administrator **Company:** HiDO Health **Position:** Part-Time Independent Contractor **Time Commitment:** Up to 5 hours per week **Duration:** Approximately 2–3 years **Location:** Remote Position Overview HiDO Health is seeking an experienced, detail-oriented NIH Grant Administrator to provide ongoing post-award support for three active federal awards: two NIH Phase II SBIR grants and one NIH Commercialization Readiness Pilot (CRP) award. This is a long-term, fractional position requiring up to five hours per week on average. Workload may vary around reporting deadlines and other NIH requirements. The administrator will work directly with HiDO’s CEO/Principal Investigator, accounting team, research partners, and NIH program and grants-management staff. Responsibilities * Maintain an organized calendar of NIH reporting deadlines, award conditions, and required submissions. * Coordinate and prepare annual Research Performance Progress Reports (RPPRs). * Assist with Federal Financial Reports, closeout requirements, and other post-award documentation. * Monitor grant expenditures, budget categories, remaining balances, and allowable costs. * Reconcile financial records with the company’s accounting team and NIH Payment Management System activity. * Support payment requests and maintain documentation supporting federal drawdowns. * Prepare and track prior-approval requests, carryover requests, rebudgeting, and no-cost extensions. * Monitor personnel effort, salary-cap compliance, subcontractor costs, and consultant expenses. * Coordinate reporting and documentation with university and other subcontracting partners. * Maintain audit-ready grant files, including invoices, contracts, certifications, payroll support, and procurement documentation. * Track SBIR/STTR life-cycle certifications and other award-specific compliance requirements. * Review Notices of Award and advise the company regarding special terms, restrictions, and required actions. * Communicate with NIH grants-management and program staff when administrative clarification is required. * Help ensure compliance with NIH, HHS, and federal grant-management requirements. Preferred Qualifications * At least three years of NIH grant administration or sponsored-research experience. * Direct experience managing NIH SBIR/STTR Phase II or commercialization awards. * Strong knowledge of post-award administration, RPPRs, prior approvals, carryover, no-cost extensions, and grant closeout. * Familiarity with eRA Commons, NIH ASSIST, Payment Management System, and SAM.gov. * Understanding of federal cost principles, audit documentation, and 2 CFR 200 requirements. * Experience coordinating grants involving university subawards or clinical research partners. * Strong organizational, financial-review, and written-communication skills. * Ability to work independently and identify upcoming requirements without extensive supervision. Experience supporting small businesses, clinical research, medical-device commercialization, or NIA-funded programs is especially valuable. This is a remote independent-contractor position expected to require up to five hours per week. The engagement is anticipated to continue for two to three years, subject to grant timelines and company needs. Some weeks may require fewer hours, with additional availability needed near NIH reporting deadlines.
