We need QuickBooks Online set up to track two brands separately and caught up for about 18 months. About the business • Company: Epic Entertainment Inc, a California C-corp. • Brand 1, Epic Entertainment: audio/video, lighting, and event production for weddings and special events, plus DJ, trivia/bingo hosting, and photo booths. • Brand 2, Butlerz Rents: a DBA of Epic Entertainment Inc. Rents tables, chairs, linens, flatware, glassware, dance floors, and string lighting for weddings and events. • Banks: UMB Bank (separate accounts for each brand) and Wells Fargo. • Card payments: Stripe. • Goal: reports for each brand alone and combined, with shared expenses split by percentage. 1. Setup [ ] Check our QuickBooks plan and upgrade to Plus if needed, since class tracking requires it. [ ] Turn on class tracking with two classes, Epic Entertainment and Butlerz Rents, assigned per line. [ ] Turn on the warning for transactions with no class assigned. [ ] Clean up the chart of accounts for an event production and rental business: separate income accounts for each service line and rental category, and note which accounts belong to which brand. 2. Bank and payment connections [ ] Connect every account: UMB (separate accounts for each brand), Wells Fargo, and any business credit cards. [ ] Set up Stripe so payouts record as gross sales minus fees and refunds, not one lump deposit. Recommend the best connector app for this. [ ] Set up how cash, check, Venmo, or Zelle payments get recorded, if we take them. 3. Rules and splits [ ] Build bank rules for recurring vendors, including our standard percentage splits between brands. [ ] Set rules to suggest, not auto-add, so I review everything. [ ] Split loan payments into principal and interest. [ ] Split payroll entries into wages and taxes, and by brand. [ ] Handle transfers between our own accounts and credit card payments so they don't show as income or expenses. 4. Catch-up (about 18 months) [ ] Set opening balances as of the catch-up start date, coordinated with our CPA. [ ] Categorize and assign a class to every transaction since then. [ ] Reconcile every month against bank and credit card statements. [ ] Close and lock reconciled months. 5. Tax and compliance questions Please review these with us and our CPA: [ ] Should Butlerz collect and remit California sales tax on rentals? [ ] Cash or accrual basis for a C-corp our size? [ ] How should wedding deposits taken months in advance be handled? [ ] How should personal expenses paid from business accounts be recorded? [ ] Which purchases should be depreciated vs. expensed, and at what dollar threshold? 6. Reports and training [ ] Saved reports: P&L by class, P&L for each brand alone, balance sheet, cash flow, and expenses by vendor. [ ] A monthly P&L by class emailed to me automatically. [ ] A 30–60 minute training on my daily routine: reviewing the bank feed, approving suggestions, and adjusting a split. [ ] A short written cheat sheet of that routine. Before hiring Please quote two options: (1) setup and catch-up only, and (2) setup and catch-up plus ongoing monthly bookkeeping. • Are you a certified QuickBooks Online ProAdvisor?
