Summary

Senior Full Stack Developer Needed for Queue Management, Appointment and Lobby Display SaaS Platform We are a U.S. based professional services company looking for an experienced Senior Full Stack Developer or small development team to build our own proprietary queue management, customer check in, appointment scheduling, and lobby display platform. The software will initially be used internally across our offices. However, we want the system designed so it can potentially become a multi tenant SaaS platform offered to other professional service businesses in the future. This is not a simple website project. We are looking to build a real software product that our company will own and continue developing long term. CORE MVP CUSTOMER CHECK IN Customers should be able to check in through a lobby tablet or kiosk, QR code, mobile phone, or directly through a receptionist. Customers should be able to enter their name and phone number, select the service they need, select or be routed to a department, join the waiting queue, receive a queue number, see an estimated wait time, and receive SMS notifications. The system should support both walk in customers and scheduled appointments. REAL TIME STAFF QUEUE Staff members should have a simple real time dashboard showing customers waiting, queue number, customer name, requested service, department, check in time, current waiting time, appointment or walk in status, assigned employee, customer status, and internal notes. Employees should be able to call the next customer, assign customers, transfer customers between employees or departments, place customers on hold, start service, complete service, mark no shows, and add internal notes. LOBBY TV AND DIGITAL QUEUE DISPLAY This is an important part of the project. Each office should be able to connect a television or monitor to a browser based lobby display. The television should display customers or ticket numbers currently being served, desk or room assignments, customers waiting, and other relevant queue information. The display should update automatically in real time without requiring the page to be manually refreshed. When an employee calls a customer, the television should visually highlight the customer or ticket number being called. AUDIO ANNOUNCEMENTS We would also like the system to optionally announce customers through the lobby television or speakers. For example: Ticket A104, please proceed to Desk 4. The system should eventually support announcements in both English and Spanish. Administrators should be able to enable or disable audio announcements for each location. DIGITAL SIGNAGE AND LOBBY CONTENT While customers are waiting, we want the television to also function as a digital signage and marketing system. Administrators should eventually be able to display and remotely manage company announcements, promotional slides, educational information, videos, images, QR codes, service information, seasonal messages, and other content. The screen could display queue information in one area while showing company content in another area. SMS NOTIFICATIONS Customers should be able to receive configurable SMS notifications including check in confirmation, estimated wait time, queue updates, notification when they are next, notification when a representative is ready, desk or room assignment, appointment reminders, and customer feedback requests. We are open to using Twilio or another reliable SMS provider. APPOINTMENT SCHEDULING The system should support online appointment booking, employee availability, location availability, appointment confirmations, SMS reminders, rescheduling, cancellations, no show tracking, and integration of appointments and walk ins within the same operational dashboard. SERVICES, DEPARTMENTS AND EMPLOYEES Administrators should be able to create and manage locations, departments, services, employees, desks or rooms, employee skills, service assignments, operating hours, and routing rules. Customers should be routed to appropriate employees based on the requested service and employee availability. MULTIPLE LOCATIONS The system should support multiple offices. Management should have a centralized dashboard where they can view activity and performance across all locations. ANALYTICS AND KPIS We want management reporting for customers served, average wait time, average service time, customers served per employee, customers served per department, customers served per location, peak hours, no show rate, abandoned queue rate, appointments versus walk ins, daily volume, weekly volume, monthly volume, and customer satisfaction. Reports should be filterable by employee, service, department, location, and date range. CUSTOMER FEEDBACK After service is completed, the system should optionally send an SMS requesting customer feedback. Management should be able to track customer satisfaction by employee, department, location, and date range. FUTURE AI CAPABILITIES AI is not required to be the main focus of the first MVP. However, we would like the architecture to allow future AI capabilities such as intelligent customer routing, predictive wait times, customer volume forecasting, staffing recommendations, operational insights, and automated management reporting. FUTURE INTEGRATIONS The architecture should be API friendly so we can eventually integrate with systems such as GoHighLevel, Google Calendar, Microsoft Outlook, CRM systems, phone and SMS platforms, payment systems, and other internal business applications. FUTURE SAAS CAPABILITY Although the initial system will be for our own company, we want the architecture designed so it could eventually become a commercial SaaS platform. Future SaaS functionality may include multiple companies, multiple locations per company, subscription billing, different pricing plans, white label branding, custom logos and colors, user permissions, centralized administration, and usage tracking. Each company's information must be securely isolated. SECURITY The developer should have experience with secure authentication, multi factor authentication, role based access control, encryption, secure databases, audit logs, backups, API security, cloud security, and tenant data isolation. TECHNOLOGY We are open to technology recommendations. Experience with React, Next.js, Node.js, Python, PostgreSQL, WebSockets or other real time technologies, AWS, Azure, Google Cloud, Twilio, REST APIs, SaaS architecture, and multi tenant architecture would be valuable. We care more about architecture, reliability, simplicity, security, and maintainability than a specific programming language. INTELLECTUAL PROPERTY AND OWNERSHIP This requirement is very important. We are building our own original proprietary software. We are not asking anyone to copy another company's proprietary source code, designs, content, or intellectual property. All custom source code, database schemas, APIs, designs, documentation, workflows, and other project specific work product created and paid for under this engagement must be delivered to our company according to the final agreement. The source code repository, cloud infrastructure, domains, databases, and production accounts should ultimately be controlled by our company. WHO WE ARE LOOKING FOR We prefer a strong senior developer or small technical team with experience building SaaS applications. Experience with queue management systems, appointment systems, real time dashboards, digital signage, kiosk applications, SMS integrations, multi location applications, or multi tenant SaaS platforms would be particularly valuable.
