n8n & Notion Automation Expert: Build ATS, Role-Based DocuSign & Xero Pipeline

We are looking for an experienced Automation Engineer to build a clean, automated Applicant Tracking System (ATS) and onboarding pipeline using Notion, n8n, DocuSign, Xero, and Zoho Mail. We have a team of six recruiters sourcing candidates simultaneously. We need a robust Notion-based system to track candidates, prevent duplicate outreach, auto-attribute recruiter payouts, conditionally dispatch role-specific offer agreements, and fully automate contractor onboarding through to accounting review. Scope of Work & Requirements: 1. Notion ATS Architecture Build a Master Candidates Database & Linked Recruiters Database. Set up auto-attribution using system Created By fields for recruiter commission tracking. Build native duplicate-detection formulas and visual warning flags based on email/phone matching. Create pre-configured Notion Buttons and clean dashboard views for recruiter sourcing. 2. Role-Based DocuSign Offer Automation Implement conditional routing logic in n8n triggered by Notion database updates. Automatically send the correct agreement template via DocuSign API based on the selected Role / Position (Setter, Coach, Closer, Full Sales Cycle). 3. Automated Onboarding Pipeline (via n8n) Data Collection & Xero Sync: Automated collection of W-9 info and banking details, passing data into Xero as vendor records. Zoho Provisioning: Automated trigger/scripting to provision company email addresses via Zoho Mail. Workspace Setup: Auto-generate an individual candidate CRM Board and assign a Notion Calendar upon onboarding. Welcome Package: Automatically dispatch onboarding emails containing login details, dialer access, and Google Sales Drive assets tailored to their role. 4. Accounting & Payout Approval Workflow Integration Update Existing Board: Review and update our existing Notion Accounting Board to ensure full compatibility with the new pipeline for human payout approvals. Automatically route fully onboarded candidates to "Ready for Payout Approval" once DocuSign, W-9, and banking details are complete. Trigger draft bill/payout creation in Xero via n8n webhook when Accounting checks "Approve Payment." Budget & Fixed Terms: Fixed Budget: $50 total project price (non-negotiable, paid via Upwork milestone upon full verification and delivery). Required Qualifications: Proven track record building complex workflows in n8n (self-hosted or cloud). Advanced Notion architecture skills (Formulas 2.0, linked databases, automations, button blocks). Hands-on API integration experience with DocuSign (template mapping), Xero, and Zoho Mail. Strong understanding of webhook handling, conditional logic, and error handling.
