Admin and Marketing Assistant

Summary

I'm a writer-director and breathwork coach splitting time between London, New York and LA over the next few months. I need help with admin and coordination across three strands of work so I can focus on rehearsing, performing rather than chasing venues and emails. This is a part-time, remote role. Estimate 5-10 hours a week, more in the weeks leading up to a show. The three strands: 1. UK work in progress shows (mid-August to end of September, London) I'm developing a solo theatre show ahead of a run in New York at the end of October. I want to book 4 work in progress performances in London venue before I go, to rehearse in front of an audience and refine the material. You'll need to: Contact venues from a shortlist I'll provide, confirm availability for dates between late August and Sept 30, and get hire costs and what's included (tech, PA, front of house). Track responses in a simple spreadsheet: venue, date offered, cost, deadline to confirm. Once I've picked dates, handle the booking admin and confirm details with the venue. Set up event listings (Eventbrite or similar) and post to relevant London listings sites. Promo: social posts to my accounts (I'll give you the copy and assets, or we can draft together). 2. Breathwork workshop outreach (same London window) I run breathwork workshops (adult nervous system regulation, corporate and public). I want to line up a few paid sessions in London while I'm there. You'll need to: Reach out to the venues on the list I'll give you (saunas, cold plunge studios, wellness spaces), introduce the workshop, and ask about hosting a paid or revenue-share session. Track responses the same way as the theatre venues: venue, contact, response, next step. Help schedule confirmed sessions and handle any promo needed (social, venue's own channels). 3. New York show admin (October) I have a confirmed date at United Solo (Theatre Row) on Oct 31 and I'm trying to add more dates around it. You'll need to: Help manage logistics once dates are confirmed: correspondence with the venue, ticketing setup, any paperwork. Support ticket sales push: social scheduling, list-building, coordinating with a contact I have in NY (a theatrical agent) on invites and outreach. General calendar and email admin for the NY leg so nothing falls through the cracks. Book NYC venues to perform shows at in mid/late October. What I need from you day to day: Proactive follow-up. If a venue hasn't replied in a few days, chase them, don't wait for me to ask. A simple weekly update: what's confirmed, what's pending, what needs a decision from me. Comfortable with UK time zone for the August-September work, and able to flex for NY hours in October. Good written English for outward-facing emails and listings, since you'll be representing me directly to venues. Experience needed: Comfortable in Canva, since you'll be creating simple promo graphics for shows and workshops (event tiles, Instagram posts, story templates). Confident running an Instagram account, posting, scheduling, stories, basic engagement, not just drafting captions for me to post myself. Rate and structure: Open to hourly (UK VA market rate) or a flat weekly retainer if that's easier to plan around. Let me know what you'd propose.
