Assistant to Litigation Administrator

Position Overview The Assistant to the Litigation Administrator provides administrative and operational support to ensure efficient case management, client onboarding, and calendar coordination. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with attorneys, clients, and internal team members. Key Responsibilities Calendar Management • Manage and maintain Jeremy’s calendar, including scheduling calls, meetings, and appointments with clients and attorneys • Coordinate with attorneys regarding upcoming court appearances and update calendar accordingly • Review and clean up calendar by removing or updating cancelled or rescheduled appointments Client Onboarding • Perform conflict checks for potential new cases • Prepare engagement letters for new clients • Coordinate with attorneys and clients to obtain signed engagement letters, completed payment forms, and intake documents • Follow up with clients throughout the onboarding process to ensure timely completion Monday Board Management • Update Monday board with new client onboarding status • Track and update upcoming hearing dates on the Monday board Email Management (Incoming for Jeremy) • Prepare draft responses for incoming emails to Jeremy related to non-litigation matters • Coordinate with litigation staff to assist in drafting responses for litigation-related communications Phone Call Management • Answer and screen incoming calls on behalf of Jeremy and the firm • Route calls to the appropriate team member as needed • Take detailed and accurate messages and ensure timely follow-ups • Make outbound calls to clients, attorneys, and courts as directed • Provide basic information to clients while maintaining professionalism and confidentiality Additional Support • Perform ad hoc administrative tasks as assigned by Jeremy and the litigation team • Assist with general coordination and operational needs of the litigation department Qualifications • Strong organizational and time management skills • Excellent written and verbal communication skills • High attention to detail and ability to manage multiple tasks simultaneously • Proficiency in Microsoft Office and case management or task management systems (e.g., Monday.com) • Ability to handle sensitive and confidential information with professionalism • Previous administrative, legal, accounting, or office management experience is a plus. Work Environment • Full-time position with defined daily working hours • Collaborative, team-oriented legal environment Work Schedule: 8:30 AM – 5:30 PM (PST) Please DO NOT APPLY if you cannot fully commit to this schedule.
