To support our rapid growth, we are building an automation-first operational ecosystem that bridges office admin, sales, CRM data, customer intake, and field installers. The Opportunity This is a high-impact role for a system builder who understands how sales leads, field operations, and customer service workflows connect—and wants to revolutionize the systems behind them. You will combine process engineering with smart AI tools, conversational voice/chat bots, APIs, and low-code automation platforms. Your main focus will be on eliminating repetitive manual tasks, automating CRM updates, setting up conversational bots for customer bookings and sales calls, and ensuring that operational data flows seamlessly across the company. You won't just run existing software—you will design, test, and scale the digital infrastructure that powers our organization. Key Responsibilities 1. Conversational AI & Sales Bots * Inbound/Outbound Sales & Booking Bots: Design, configure, and deploy AI voice and chat agents capable of handling incoming customer calls, conducting sales outreach, following up on web leads, and booking inspection appointments directly into team calendars. * Customer Intake, Sales & Warranty Support: Implement smart intake and conversational bots to handle lead inquiries, assist sales reps with instant account details, collect preliminary site information, and streamline warranty support requests. * Internal Knowledge & Admin Bots: Build internal knowledge search tools to provide office staff with instant access to technical equipment specs, appliance manuals (e.g., Daikin, Fujitsu, Midea), and company SOPs. 2. End-to-End Workflow & Process Automation * Lead-to-Installation Automation: Identify and automate repetitive steps across customer inquiries, quote generation, appointment scheduling, installer dispatch, and post-installation follow-ups. * No-Code / Low-Code Workflows: Build robust, scalable scenarios using platforms like Make.com, n8n, Zapier, or Microsoft Power Automate (utilizing custom Python scripts where necessary). * Automated Communications: Automate instant customer updates via SMS and Email, streamline document generation, and coordinate installer schedules without manual admin work. 3. Systems & Data Integration * Seamlessly connect Green Source's operational ecosystem: CRM systems, job/field management software, accounting (Xero or any same software), and customer messaging channel (WhatsApp). * Set up and maintain reliable webhooks, API endpoints, and database connections to ensure field crews and office staff work with accurate, real-time data. Your Toolkit * AI & Workflow Integrations: Hands-on experience configuring AI models (such as OpenAI, Claude, Botpress, or Voiceflow) alongside platforms like Make.com, Zapier, or n8n to automate customer intake, lead handling, document processing, and internal search. * Automation Platforms: Advanced hands-on skills in Make.com, n8n, Zapier, or Microsoft Power Automate. * Integration & Scripting: Solid understanding of REST APIs, JSON data structures, Webhooks, and basic scripting in Python or JavaScript. * Process Systems Knowledge: Ability to map business processes visually and translate operational bottlenecks into clear, working technical setups. * Practical AI Judgment: Knowing when a process can be fully automated vs. when human review is necessary for quality control. What We’re Looking For * 2–3+ Years in AI & Automation: Real experience building workflows in Make.com, Zapier, or n8n, connecting APIs, and setting up AI tools like Botpress, Voiceflow, or OpenAI. * Systems Mindset: You can take a messy manual task—like taking a web lead and booking it into a calendar—and figure out the cleanest way to automate it. * Great Communication: Clear written and spoken English to collaborate comfortably with our Australian team. * Problem Solver: You test your work, catch edge cases, and make sure automations don't break in production. * Reliable Remote Setup: Fast internet, backup power/data, and a solid workstation synced to AU business hours.
