Summary

We are a US-based Law Firm looking for a Bilingual Spanish Content & Administrative Virtual Assistant to support our growing Spanish-market initiatives. The primary responsibility of this position is to help us convert our existing English-language materials into clear, professional, and natural Spanish. This includes PowerPoint presentations, Canva graphics, educational materials, forms, contracts, email templates, marketing collateral, and other internal and client-facing content. This is not simply a word-for-word translation position. We are looking for someone who can understand the meaning and purpose of the original English content and translate it into Spanish that sounds natural, professional, and appropriate for a Spanish-speaking audience. The person in this role will also provide general administrative support for projects related to the development and expansion of our Spanish-speaking market. Important: Most materials will already exist in English. You will generally not be expected to create content from scratch. Your job will be to translate, format, organize, update, and help us prepare the Spanish versions for use. What You Will Be Doing 1. English-to-Spanish Translation You will translate existing English materials into professional Spanish, including: PowerPoint presentations Canva graphics and marketing materials Client handouts and educational materials Forms and questionnaires Contracts and other documents Email templates Website and landing-page content Social media graphics and captions Internal scripts and talking points Frequently Asked Questions (FAQs) Other marketing and administrative materials You must be able to translate the meaning and context of the material rather than simply translating each word literally. 2. Updating Canva Graphics Many of our existing marketing and educational materials are created in Canva. You may be provided with an existing English Canva design and asked to: Duplicate the existing English version. Translate the English text into Spanish. Replace the English text with the Spanish translation. Adjust font size, spacing, or text placement when necessary. Maintain the original branding, colors, fonts, and overall design. Proofread the final graphic before submitting it for review. You are not expected to be a professional graphic designer, but you should be comfortable working independently inside Canva. 3. Converting PowerPoint Presentations You will help us create Spanish versions of existing English presentations. For example, you may receive a 30-slide English PowerPoint presentation and be responsible for: Creating a duplicate Spanish version Translating all slide content Maintaining the existing design and formatting Adjusting text boxes when Spanish translations require additional space Checking that titles, bullet points, charts, labels, and other text have been translated Reviewing the entire presentation for consistency before submitting it You should be comfortable using Microsoft PowerPoint and working with existing templates. 4. Document and Contract Translation Support You may assist with translating documents, forms, agreements, contracts, and similar materials from English into Spanish. Your responsibility is to accurately translate the existing content while maintaining the structure and formatting of the original document. For legal documents or contracts, you will not be responsible for providing legal advice or determining the legal meaning of the document. Our team will provide the English source material and review legal content when necessary. Attention to detail is extremely important because these materials may be provided directly to clients. 5. Proofreading and Quality Control Before submitting any translated material, you will be expected to review your work carefully. You should check for: Translation accuracy Grammar and spelling Natural Spanish phrasing Missing text Formatting issues Consistent terminology Incorrect names, dates, phone numbers, or other information English text that may have accidentally remained in the Spanish version We want our Spanish materials to feel as professional and polished as our English materials. 6. Spanish-Market Administrative Support In addition to translation work, you will assist our team with administrative tasks related to our Spanish-market projects. Examples may include: Organizing Spanish-language files and folders Maintaining lists or spreadsheets Updating project trackers Formatting documents Preparing presentations Uploading or organizing marketing materials Updating templates Conducting basic online research Data entry Coordinating translated materials Keeping track of materials that still need translation or review Helping prepare materials for Spanish-speaking events, workshops, or marketing campaigns Other administrative tasks assigned by the project manager Tools You Should Be Comfortable Using You do not need to be an expert in every platform, but you should be comfortable learning and working with technology. Experience with the following is preferred: Canva Microsoft PowerPoint Microsoft Word Microsoft Excel Microsoft Outlook Microsoft 365 PDF documents Google Chrome and web-based applications Online project-management or task-management systems AI tools such as ChatGPT for productivity assistance Spanish Language Requirements This position requires strong written Spanish skills. You should be able to: Read and understand English fluently Write professional Spanish Translate English into natural Spanish Recognize when a literal translation does not make sense Adjust phrasing while preserving the original meaning Maintain a professional tone appropriate for clients Proofread your own Spanish work Maintain consistent terminology across multiple documents Native or near-native Spanish fluency is strongly preferred. Because much of our material is client-facing, excellent written Spanish is more important than simply being conversationally fluent. English Requirements You must also have strong English comprehension. You will frequently receive instructions, source materials, emails, presentations, and documents in English. You need to understand the English content well enough to accurately communicate the same meaning in Spanish. What Success Looks Like A successful person in this role can receive a task such as: "Here is our existing English PowerPoint presentation. Please create the Spanish version." …and independently: Duplicate the file Translate the content Maintain the formatting Check every slide Proofread the Spanish Save the file using the correct naming convention Submit the completed version for review Flag anything that is unclear rather than guessing We are looking for someone who can take ownership of assignments and deliver complete, organized, ready-to-review work. Ideal Candidate The ideal candidate is: Fluent or near-native in Spanish Highly proficient in written Spanish Fluent in English Detail-oriented Organized Comfortable with repetitive translation and formatting work Comfortable using Canva and PowerPoint Comfortable learning new software Able to follow detailed instructions Able to manage multiple small projects Able to meet deadlines Comfortable asking questions when instructions or source material are unclear Able to work independently after receiving instructions Careful when handling confidential information Consistent with file naming, formatting, and organization Preferred Experience Experience in any of the following is helpful but not necessarily required: English-to-Spanish translation Virtual assistance Administrative support Marketing support Canva PowerPoint presentation editing Document formatting Professional services Legal services Financial services Healthcare Insurance Real estate Other industries involving professional or client-facing documents Legal experience is a plus, but it is not required. Important Expectations Do Not Guess If you are unsure about the meaning of a sentence, legal term, instruction, or translation, ask before finalizing it. Do Not Change the Meaning Your job is to translate and adapt the language—not rewrite the underlying information unless specifically instructed. Maintain the Existing Design When translating PowerPoints, Canva graphics, or other designed materials, maintain the original branding and layout as closely as possible. Protect Confidential Information Some materials may contain confidential business or client information. All information must be handled carefully and kept confidential. Complete Your Own Quality Check Do not submit a file immediately after translating it. Review the entire document or design first and make sure it is complete, accurate, properly formatted, and ready for our team to review. Examples of Typical Assignments Assignment #1 — Canva "Here are 10 existing English Canva graphics. Duplicate each graphic, translate the content into Spanish, maintain the existing design, proofread everything, and place the completed Spanish versions in the designated folder." Assignment #2 — PowerPoint "Create a Spanish version of this English workshop presentation. Translate all 35 slides, maintain the formatting, and make sure there is no English text remaining." Assignment #3 — Document "Translate this client handout from English into Spanish. Maintain the headings and formatting and submit the Spanish version as a separate Word document." Assignment #4 — Administrative Support "Review our Spanish Market Project Tracker, identify which materials are still awaiting translation, update their statuses, and organize the completed files in the appropriate folders." Our Goal We are expanding our ability to communicate with and serve Spanish-speaking clients. We want our Spanish-language materials to be just as professional, accurate, organized, and polished as our English materials. This position will play an important role in helping us build the infrastructure, content, and administrative systems needed to support that initiative.
