Bookkeeping Clean Up - Quickbooks Online and Buildertrend

TYKKE BUILDERS QuickBooks Online + Buildertrend Cleanup Bookkeeper Temporary cleanup engagement | Target completion: October 1, 2026 Objective: Clean up and reconcile Tykke Builders' 2026 books while preserving Buildertrend as the source of truth for project billing and job costing. CURRENT ENVIRONMENT • 2025 books are closed; cleanup begins January 1, 2026. • QuickBooks Online with 7 financial accounts and active bank feeds. • Buildertrend integrated with QBO; 7 active projects in 2026. • Approximately 250–500 credit-card transactions require review/coding. • Buildertrend is the source of truth for project billing, job costing, bills, deposits, and credit memos. RESPONSIBILITIES • Validate 2026 opening balances and reconcile all accounts month-by-month through current. • Resolve Buildertrend/QBO discrepancies involving invoices, customer deposits, credit memos, payments, and job costs. • Review credit-card activity, match existing transactions when appropriate, and code project costs to the correct project/cost code. • Code routine company overhead and maintain a concise exception list for unresolved items or missing receipts. • Review A/R, A/P, Balance Sheet, and P&L for obvious inconsistencies; coordinate with our CPA on accounting-treatment questions. • Document a sustainable weekly/monthly bookkeeping workflow after cleanup. REQUIRED EXPERIENCE • Strong QuickBooks Online cleanup and reconciliation experience. • Construction bookkeeping and job-costing experience. • Direct Buildertrend + QuickBooks integration experience required. • Comfort with customer deposits, credit memos, A/R, A/P, and cost-plus residential construction. • Able to work independently using transaction history, Buildertrend, receipts, and prior coding before escalating questions. WORKING EXPECTATIONS • Do not alter closed 2025 activity without approval. • Do not blindly add bank-feed items; identify matches and avoid duplicate expenses or revenue. • Batch owner questions into a consolidated exception log and include a recommended treatment. • Goal is to resolve 80–90% of routine transactions without owner involvement.
