Build an AI-Powered Personalized Proposal System for Local Business Outreach

I own a digital marketing agency that helps local businesses improve their websites, Google visibility, and overall online presence. I am looking for an experienced AI automation builder to create a repeatable system that generates highly personalized marketing proposals and business audits. This is NOT a job to manually research and design each proposal. The goal is to build an AI-powered workflow that my virtual assistant can operate. My VA should be able to enter a business name, website, location, and a few basic details, then have the system research the company and produce most of a polished, personalized proposal. WHAT THE SYSTEM NEEDS TO DO The workflow should be able to: • Research the business, its website, Google Business Profile, reviews, services, location, competitors, and online presence • Identify specific weaknesses, missed opportunities, and areas where our agency can help • Capture or organize relevant screenshots from the company’s website, Google results, Google Maps, reviews, competitors, and other sources • Find and organize appropriate images related to the company, services, team, location, or market • Pull relevant facts from multiple research sources without inventing information • Turn the research into persuasive, business-specific copy • Create a clear narrative that shows the owner what is wrong, why it matters, and what the business could become • Generate a professionally designed presentation, proposal, or audit using a repeatable branded template • Include personalized sections about me, my background, my experience, and photographs that humanize the proposal and establish credibility • Export the finished proposal into a high-quality PDF suitable for printing and mailing • Save the research, screenshots, images, copy, and final proposal in an organized folder for each prospect • Allow my VA to review, edit, approve, and regenerate individual sections before finalizing the proposal The finished proposals should not feel like generic AI-generated reports. Each one needs to feel as though we spent considerable time studying that specific company. THE IDEAL WORKFLOW My VA enters: • Business name • Website • Google Business Profile or address • Target service and location • Any personal observations or notes • The type of service we may want to offer The system then: 1. Conducts the research 2. Collects screenshots and supporting material 3. Identifies the strongest opportunities 4. Writes the proposal 5. Places the content into a professionally designed template 6. Adds the appropriate information about me and my agency 7. Produces an editable draft 8. Exports a print-ready PDF after VA approval The VA should remain involved for quality control, but they should not have to conduct all the research, write the entire proposal, or design every page manually. POSSIBLE TOOLS I am open to the best technology stack. This could involve tools such as: • ChatGPT or the OpenAI API • Claude • Gemini • Perplexity • n8n, Make, or Zapier • Apify, Browserbase, Firecrawl, or similar research and browser tools • Google Drive, Docs, or Sheets • Canva, Google Slides, PowerPoint, or another presentation-generation platform • Screenshot, image-search, and website-analysis tools • A custom dashboard or simple internal application I am not committed to any particular combination. I want the builder to recommend a dependable system that a nontechnical VA can operate. IMPORTANT REQUIREMENTS • This must be a reusable system, not a manual proposal service • The system must produce genuinely personalized content • Research claims must be traceable to their sources • It must avoid hallucinated statistics, services, employee names, or business facts • Images must be properly sourced and suitable for commercial use • The final presentation must be visually persuasive, not merely an AI-generated document filled with text • The templates must be easy for us to update • The workflow must include human review and approval points • The completed system must be documented • You must train my VA on how to use and troubleshoot it • I must own the workflows, prompts, templates, accounts, documentation, and other assets created for this project WHO I AM LOOKING FOR You should have experience building AI-powered research and content-generation workflows. If the proof of concept works, we will expand it into the complete VA-operated system.
