Build a Real Estate Video Content Factory — Airtable + Frame.io + Automation Expert

We are a California real-estate content company looking for an experienced Airtable / automation / creative-operations builder to design and implement the first working version of our video content production system. This is NOT a video-editor job. This is NOT a generic virtual-assistant job. This is NOT a request to build a custom app from scratch on day one. THE BUSINESS PROBLEM Every Friday, we film approximately 5 properties. For each property, we capture: - Vertical property footage for short-form platforms - Horizontal property footage - Thumbnail photos - Agent-specific intro and outro clips Usually 3–8 real-estate agents attend each shoot. We need a shared master property sequence plus an agent-specific version for every agent who attended. Our current process is Google Drive + scattered folders + WhatsApp feedback + unclear versions + manual follow-up with agents. It is slow, confusing, and impossible to manage cleanly at volume. THE OUTCOME WE WANT We want one simple production system where: 1. One property shoot creates a shared master edit plus one personalized cut per attending agent. 2. Video review happens directly on the video with timestamped feedback, obvious version history, revision tracking, and a clear final approval state. 3. Agents only see their own approved content pack, including their video, thumbnail, caption guidance, posting deadline, and a simple way to confirm posting and paste the live URL. 4. Management can instantly see: - What is ready for edit - What is awaiting review - What needs revisions - What is approved - What is ready for agents - Which agents are overdue - What has been posted and where 5. The underlying file organization, automations, and project plumbing are mostly hidden from daily users. CURRENT PREFERRED STACK We currently lean toward: - Airtable as the central production database, management dashboard, calendar, and workflow tracker - Frame.io for review, timestamped comments, versions, and approvals - Google Drive for raw-footage storage and archive - Make.com, n8n, Zapier, APIs, or webhooks for automation - A simple agent-facing interface for approved content and posting confirmation - Metricool or an equivalent social scheduler, if it makes sense We do NOT want someone who blindly agrees with this stack. If you recommend a different tool or architecture, explain why and show a relevant system you have built. PHASE ONE: PAID MVP ARCHITECTURE The first contract is small and tightly scoped. We want a fixed-price architecture milestone ($400–$800, about 5–8 hours) that delivers: - A recommended phase-one stack - A simple workflow diagram - A base/schema sketch for Properties, Agents, Editors, Deliverables, Reviews, and Published Posts - A plan for permissions so agents only access their own content - An automation map for the first implementation - What should be excluded from phase one - A detailed implementation plan, timeline, and fixed-price build bid We do not want a two-week discovery workshop. We already understand the current pain points and want an experienced builder to turn them into an implementable system. If the architecture milestone is strong, the next phases will include building the Airtable system, configuring the Frame.io workflow, connecting automations, testing with real Friday footage, and documenting the system. IMPORTANT Do not propose a custom app before a real Friday shoot runs cleanly through the phase-one system. A separate branded portal may be a later phase. For the initial rollout, Airtable Interfaces or another practical low-code approach may be enough—but tell us what you would recommend and why. If it is confidential, show anonymized evidence and clearly explain your personal role. 2. In 8–12 sentences or a simple diagram, explain how you would handle: Property → attending agents → master edit → agent-specific cuts → video review/versioning → approved agent-ready queue → agent post confirmation → published URL tracking. 3. Have you personally configured Frame.io workflows or integrated Frame.io using APIs, Make.com, Zapier, n8n, or webhooks? Answer yes or no, then explain exactly what you configured or integrated. Strong applicants will be invited to the paid architecture milestone and may become our long-term systems builder.
