Cannabis Industry Accounting & Bookkeeping Professional — Cash-Intensive Business

We are launching a new cannabis-related business and are seeking an experienced Accounting and Bookkeeping Professional with direct cannabis-industry experience to help establish our accounting, bookkeeping, cash-management, and financial reporting systems from the ground up. Because the business will handle a significant volume of cash transactions, we need someone who understands the specialized accounting, tax, inventory, documentation, and internal-control considerations associated with the legal cannabis industry. This is an opportunity to help build the financial foundation of a new company correctly from the beginning. Initial Responsibilities Assist with selecting and setting up QuickBooks Online or another appropriate accounting platform Create a cannabis-appropriate chart of accounts Establish bookkeeping procedures for daily, weekly, and monthly transactions Set up procedures for recording and reconciling cash sales Develop cash-counting, cash-transfer, safe-management, and deposit procedures Create cash logs, deposit logs, reconciliation forms, and supporting documentation Establish internal controls to reduce theft, errors, missing funds, and undocumented transactions Set up bank, credit-card, payroll, vendor, and owner-contribution accounts Properly record startup expenses, equipment purchases, inventory, capital contributions, and initial funding Establish accounts-payable and vendor-payment procedures Set up monthly closing and financial-reporting processes Coordinate accounting workflows with the company’s POS, inventory, payroll, banking, and compliance systems Establish procedures for reconciling daily sales reports against cash received, electronic payments, discounts, refunds, taxes, and deposits Develop inventory-accounting and cost-of-goods-sold procedures Assist with documentation related to IRC Section 280E under the direction of our CPA or tax professional Help establish systems for sales tax, excise tax, payroll tax, and other required financial reporting Create organized digital recordkeeping and document-retention procedures Prepare the business for future audits, tax filings, financing requests, and regulatory reviews Coordinate with management, our CPA, tax professionals, payroll providers, and other advisors Ongoing Responsibilities Once the business begins operating, responsibilities may include: Recording and categorizing financial transactions Reconciling bank accounts, credit cards, cash accounts, safes, and deposits Reconciling POS sales to cash collections and deposits Reviewing cash overages, shortages, refunds, discounts, and voided transactions Maintaining accurate accounts payable and vendor records Monitoring inventory and cost-of-goods-sold records Completing monthly financial closings Preparing profit-and-loss statements, balance sheets, cash-flow reports, and management reports Maintaining audit-ready supporting documentation Preparing organized records for our CPA and tax professionals Identifying accounting discrepancies, unsupported expenses, and weaknesses in internal controls Recommending improvements as the company grows Required Qualifications Direct accounting or bookkeeping experience within the legal cannabis industry Experience helping establish the accounting systems of a new business Strong experience with high-volume cash businesses Advanced proficiency with QuickBooks Online Strong understanding of cash reconciliation and internal controls Familiarity with cannabis inventory accounting and cost-of-goods-sold documentation Working knowledge of Section 280E and cannabis-specific accounting considerations Experience integrating or reconciling POS, inventory, payroll, and banking systems Strong attention to detail and organizational skills Ability to create clear accounting procedures and standard operating procedures Excellent written communication High level of discretion and confidentiality Familiarity with U.S. accounting and bookkeeping practices Preferred Qualifications CPA, accounting degree, Certified Bookkeeper, QuickBooks ProAdvisor, or similar credential Experience working with cannabis dispensaries, delivery businesses, cultivators, manufacturers, distributors, or vertically integrated operators Familiarity with METRC or other seed-to-sale tracking systems Experience with cannabis-specific POS and inventory platforms Experience setting up multi-entity or multi-location accounting Experience creating cash-handling and fraud-prevention procedures Experience preparing financial records for tax filings, investors, lenders, audits, or ownership reporting Initial Project Deliverables The initial engagement may include: Reviewing our proposed business structure and operational workflow from an accounting perspective Recommending the appropriate accounting and financial-management systems Setting up QuickBooks Online Creating the chart of accounts Establishing procedures for startup expenses and owner contributions Creating cash-handling and reconciliation procedures Establishing POS, inventory, payroll, and banking reconciliation workflows Creating accounts-payable and vendor-payment procedures Establishing monthly closing procedures Creating financial-reporting templates Developing document-retention and audit-readiness procedures Coordinating with our CPA regarding Section 280E and tax-reporting requirements Training management or designated employees on the established procedures Following the initial setup, this position may transition into an ongoing weekly or monthly bookkeeping engagement. General bookkeeping experience without experience in the legal cannabis industry may not be sufficient for this position. The selected professional will provide bookkeeping, accounting setup, and compliance-support services while coordinating with our licensed CPA, tax advisor, attorney, and other professionals where appropriate.
