Clio Manage & Clio Grow Expert – Automation, Workflows & Law Firm Optimization

Company: MCB Law Location: Remote Job Type: Project-Based / Part-Time, with potential for ongoing work Job Description MCB Law, a boutique family law firm based in Los Angeles, is looking for an experienced Clio Manage and Clio Grow expert to help us improve, automate, and optimize our firm's case-management and client-intake systems. We already use both Clio Manage and Clio Grow extensively. We are not looking for someone who simply knows how to navigate Clio. We need someone with advanced, hands-on experience building workflows, automations, templates, pipelines, and processes within Clio who can evaluate how our firm currently operates and identify opportunities to make our systems more efficient. The goal is to reduce repetitive administrative work, improve consistency, prevent tasks and deadlines from falling through the cracks, and create better workflows from the moment a prospective client contacts the firm through the conclusion of a matter. The ideal candidate will understand both the technical capabilities of Clio and the practical day-to-day operations of a law firm. Key Responsibilities Review our existing Clio Manage and Clio Grow setup and identify opportunities for improvement. Create, modify, and optimize automated workflows for recurring law firm processes. Build and improve task lists and task templates for different types and stages of matters. Optimize our Clio Grow intake pipeline, including lead stages, follow-ups, consultations, retainers, and conversion to matters. Create automations to reduce manual follow-up with prospective and existing clients. Improve the transition of information and matters from Clio Grow to Clio Manage. Create workflows for onboarding new clients and opening new matters. Develop workflows for active case management, including recurring tasks, deadlines, client follow-ups, discovery, hearings, and case progression. Develop workflows for closing matters and completing final administrative tasks. Review and improve custom fields, matter types, statuses, templates, intake forms, and other Clio configurations. Create or improve document and communication templates where appropriate. Identify repetitive tasks currently being performed manually and recommend ways to automate them. Troubleshoot existing Clio workflows and automations that are not functioning efficiently. Recommend integrations or third-party tools when Clio cannot accomplish a workflow natively. Help create a system that is organized, scalable, and easy for attorneys and staff to follow. Document newly created workflows so our team understands how they operate and can maintain them going forward. Requirements Advanced experience with both Clio Manage and Clio Grow is required. Demonstrated experience creating and managing Clio workflows, automations, task templates, intake pipelines, and related systems. Experience working with law firms and understanding legal case-management workflows. Strong understanding of how Clio Grow and Clio Manage work together. Ability to evaluate an existing system and recommend improvements rather than simply implementing instructions. Strong organizational skills and attention to detail. Ability to communicate technical processes clearly to attorneys and non-technical staff. Ability to work independently and proactively identify inefficiencies. Preferred Qualifications Experience specifically optimizing Clio for family law firms. Experience with Clio integrations and automation platforms such as Zapier. Experience integrating Clio with lead-generation or marketing systems. Experience with Google Workspace and other common law firm technology. Experience developing SOPs or workflow documentation for law firms. What We Are Looking For We want someone who can look at a process and ask: "Why is the firm doing this manually, and how can we make Clio handle more of it?" We are particularly interested in candidates who have previously taken an existing law firm's Clio account and significantly improved its workflows, automations, and overall efficiency. This is not intended to be a basic data-entry or administrative Clio position. We are looking for someone who can serve as a Clio systems expert and problem-solver.
