We receive 15–25 inbound deliveries every day. Our warehouse itself runs fine — our paperwork doesn't. The problem we want advice on Every delivery arrives with documents in a different format: scanned PDFs, printed packing lists, transport documents, supplier invoices, and often just a photo of a crumpled paper taken on the driver's phone. Today, our two office administrators read every document and retype all the data (supplier, order number, items, quantities, batches) into our warehouse system. Then they manually compare what the documents say against what we ordered and what physically arrived. What this costs us: 5–8 hours of admin work every day spent purely on retyping and cross-checking Typing errors that turn into stock discrepancies and client disputes Real discrepancies (short shipments, wrong items) noticed too late — or never — so we can't claim them from suppliers Documents saved into folders where nobody can find anything when a client disputes a delivery months later Where we want to get to: any inbound document becomes verified data in our warehouse system in a couple of minutes — with our staff only confirming, never retyping. A person must stay in control; nothing should enter our stock records without someone confirming anything the system isn't sure about. And we don't want to replace our current warehouse software — whatever we build has to work alongside it. What we are hiring for This is a consultation, not a build. We are not ready to commission a system yet, and we don't want a proposal for one. We want an hour with someone who has actually delivered this kind of automation, so that we understand what we're getting into before we spend real money. Specifically, we want to understand: Whether our case is a good fit for document automation at all, or whether the variety of our formats makes it more trouble than it's worth. What realistically works today on messy real-world documents — including phone photos — and what still doesn't. Which part of this is actually the hard part. We assume it's reading the documents. We'd like to know if that assumption is wrong. What we should check on our side before starting anything: what our warehouse system needs to allow, what data we'd need to prepare, what usually blocks projects like this. Roughly what scale of effort and budget a first working version would take — an order of magnitude, not a quote. What typically goes wrong in projects like this, and what we should insist on in a contract to avoid it. How we'd like it to run A 60–90 minute video call with our operations manager and one of our administrators. We'll send a few real documents and a short description of our warehouse system in advance, so the call isn't spent on background. A short written summary afterwards — one or two pages, plain language — covering your recommendation and the risks you'd flag. We need something we can show to our owner, not just a conversation. What we'll provide before the call A small sample of real inbound documents, including the messy ones One example purchase order matching one of those documents A description of our warehouse system and how data currently gets into it After this If the consultation is useful and your recommendation makes sense, we would move to a paid discovery and then a pilot on our most common document types. That would be scoped, quoted and contracted separately. We're not asking anyone to bid on it now.
