AI Consulting for a Dental Clinic

We are a dental clinic exploring the use of an AI voice receptionist to improve how we manage patient calls, appointment scheduling, and after-hours enquiries. A large number of patients contact us outside normal business hours, and we would like an AI system that can answer calls, schedule or reschedule appointments, capture patient details, respond to common questions, and escalate urgent or complex enquiries to the appropriate team member. We also have a substantial amount of information relating to treatments, pre-treatment instructions, post-operative care, clinic policies, frequently asked questions, and other patient documents. We would like to understand how a RAG-based knowledge system can be created so the AI receptionist can access the correct information and provide accurate, relevant, and consistent answers to patients. At this stage, we are looking for consulting rather than immediate development. The engagement will involve one or two video calls where we will explain our clinic operations, existing systems, common patient enquiries, appointment workflows, and the challenges we currently face. Based on these discussions, we would like you to prepare a detailed consultation document covering the recommended solution, system architecture, implementation process, technology options, integrations, estimated costs, ongoing operating expenses, data and privacy requirements, potential risks, and a phased implementation plan. The objective is to understand how AI voice technology and a RAG framework can help us run the clinic more efficiently, reduce the workload on our reception team, improve after-hours patient support, and create a better overall patient experience. This consulting engagement may lead to a larger implementation project for the right consultant or agency.
