This is not a generic software-research assignment. We need someone who understands how an official U.S. deposition record is lawfully created and certified, how modern deposition tools support—but do not replace—that process, and how RelativityOne and aiR can connect discovery, deposition preparation, certified testimony, exhibits, and case strategy. RLF already has enterprise access to RelativityOne under favorable commercial terms and intends to use the available Relativity and aiR capabilities to their full potential. We also use NetDocuments as our document management system and Otter Enterprise for approved internal use cases. The consultant will help us determine what should remain, what should be added, what is duplicative, what requires stronger guardrails, and how the components should work together in practice. The mandate: Challenge the report where appropriate, convert sound recommendations into a working system, run a controlled pilot, train the team, and leave RLF with repeatable workflows—not merely another strategy deck. About Rose Law Firm Rose Law Firm is a fully remote, business-oriented U.S. law firm serving middle-market companies, business owners, and executives. Our matters include complex commercial litigation, corporate and transactional work, M&A, real estate, employment, bankruptcy-related disputes, and strategic business matters. Our legal teams combine experienced U.S. attorneys with internationally trained lawyers serving as Supporting Paralegals (SPs). RLF is intentionally building a sophisticated, AI-enabled legal operating model. We value technology when it improves legal judgment, quality, defensibility, and client service—not when it merely produces attractive demonstrations. Our sister company, Sentric Legal, focuses on AI adoption, training, and staffing for law firms. Any Sentric application would follow, not precede, successful RLF validation and applicable contractual approvals. Why This Engagement Exists RLF has completed a current-market study covering court-reporting agencies, remote deposition platforms, realtime reporting, exhibit management, legal and AI transcription, synchronized video, transcript review, security, pricing, and court-reporter hiring. We have also determined that Relativity should become the presumptive evidence-analysis and deposition-intelligence workspace for meaningful litigation matters, while NetDocuments remains the authoritative legal-file repository. We now need an experienced operator to validate those conclusions and implement the target state. The consultant must preserve the critical boundary between (1) the neutral officer, lawful oath, reporter-controlled record, certification, and chain of custody and (2) the technology used for preparation, logistics, convenience transcription, analysis, and downstream work product. Primary Mandate and Success Outcomes • Independently evaluate the report's legal-operational assumptions, vendor conclusions, security analysis, cost assumptions, and implementation recommendations. • Design a coherent RLF deposition technology architecture for the period before, during, and after a deposition or Rule 2004 examination. • Make RelativityOne and aiR the effective connective tissue among discovery, deposition preparation, certified testimony, exhibits, facts, chronologies, witnesses, and case strategy—without disturbing the integrity of the official record. • Identify and eliminate duplicative tools while preserving any narrow tool that materially outperforms Relativity for live exhibits, realtime, legal video, courtroom portability, or another defined use case. • Implement and evaluate at least one controlled pilot on a real RLF matter using appropriately protected data and attorney-approved procedures. • Produce practical SOPs, decision trees, checklists, templates, training, and governance that attorneys and SPs can use consistently. • Establish objective adoption, quality, risk, time-savings, storage, and cost metrics for leadership review. Scope of Work 1. Independent Report Review and Current-State Assessment • Read and critically annotate the existing market report and the RLF-specific Relativity analysis; identify unsupported assumptions, missing products, outdated claims, implementation gaps, and decisions that require attorney review. • Interview selected RLF attorneys, SPs, operations personnel, cybersecurity personnel, and existing Relativity hosting/support partners. • Map the present workflow for notices, scheduling, reporter selection, remote oaths, exhibits, realtime, roughs, video, final transcripts, errata, transcript storage, summaries, designations, and trial use. • Inventory current contracts, account tiers, permissions, integrations, retention settings, data flows, recurring costs, hidden fees, and ownership/export rights. • Separate confirmed facts from vendor representations, legal assumptions, and items requiring jurisdiction-specific lawyer validation. 2. Target-State Architecture and Tool Rationalization • Define the role of the reporter/officer, court-reporting agency, remote platform, exhibit platform, realtime feed, videographer, NetDocuments, Relativity, Otter Enterprise, and any approved AI tool. • Recommend which existing or proposed products RLF should use now, pilot, defer, retain only for narrow circumstances, or eliminate as duplicative. • Design decision criteria for traditional stenographic reporting, digital reporting where lawful, realtime, daily roughs, legal video, synchronized video, interpreters, complex exhibits, confidential matters, and multistate remote witnesses. • Create minimum, preferred, and sophisticated matter-level configurations, including cost triggers and approval thresholds. • Design clean handoffs between NetDocuments as the authoritative file and Relativity as the active evidence and analysis environment. 3. RelativityOne and aiR Optimization • Assess and operationalize Relativity Transcripts, transcript annotations and designations, exhibit linking, supported litigation transcript formats, synchronized video, transcript reports, and permissions. • Develop workflows for aiR for Case Strategy, including fact extraction, chronologies, transcript summaries, witness summaries, and attorney-edited deposition outlines. • Evaluate and implement appropriate uses of aiR Assist, aiR for Review, aiR for Privilege, and Relativity AV Transcription, subject to actual entitlements and RLF approval. • Create transcript, exhibit, video, and metadata ingestion specifications; draft/final replacement procedures; quality-control checks; naming conventions; role-based access; and defensible export/archival procedures. • Model user-seat, storage, video, processing, AI, support, and incremental matter costs; identify any fees or contractual limitations that must be confirmed with existing providers. • Establish mandatory attorney verification of every AI-generated quotation, admission, contradiction, factual proposition, and page-line citation. 4. Court-Reporter, Agency, and Live-Deposition Workflow • Evaluate RLF's reporter and agency requirements for credentials, neutral officer status, multistate oath authority, federal and bankruptcy experience, remote technology, independent backup capture, exhibits, realtime, roughs, video, certification, security, insurance, and subcontractors. • Refine the RLF court-reporter Upwork posting, candidate scorecard, interview questions, synthetic work sample, technical rehearsal, rate-card comparison, and engagement requirements. • Specify a Relativity-ready certified-record package, including searchable and condensed PDF, clean ASCII/TXT or supported litigation file, word index, exhibits and manifest, certificate, errata materials, and synchronized video where ordered. • Compare selected court-reporting agencies and targeted tools using common scenarios and total-cost analysis rather than page rate alone. • Recommend a purpose-built live exhibit and realtime approach. Evaluate any live AI 'second-chair' product only through a sandbox, security review, and attorney-controlled pilot. 5. Security, Confidentiality, AI, and Vendor Governance • Develop a due-diligence standard addressing account tier, SOC 2 evidence, encryption, MFA/SSO, audit logs, data location, human review, subprocessors, offshore access, AI training/model improvement, retention, deletion, breach notice, legal holds, exportability, indemnity, insurance, and limitation of liability. • Create heightened review paths for privileged material, trade secrets, protective-order or sealed material, financial records, employment matters, personally identifiable information, health information, and bankruptcy financial data. • Confirm that RLF confidential information is never placed in a personal, consumer, or unapproved AI/transcription account and that derivative AI work remains separate from the certified record. • Identify every procedural, ethical, privacy, recording-consent, licensing, or contract question that requires an RLF attorney's decision; do not independently resolve legal questions outside the consultant's authority. 6. Pilot, Training, and Change Implementation • Select a suitable pilot matter with RLF leadership and define success criteria before configuration or data ingestion. • Support the pilot from pre-deposition corpus preparation and outline development through live-event coordination, final certified-package ingestion, transcript analysis, chronology updates, designations, and lessons learned. • Train attorneys, SPs, litigation operations personnel, and administrators using role-specific sessions and synthetic or properly authorized matter examples. • Build reusable ClickUp workflows, checklists, forms, approval gates, training materials, and a 90-day implementation roadmap with owners and deadlines. • Measure actual time saved, citation accuracy, user adoption, workflow friction, vendor performance, storage consumption, total matter cost, and error or rework rates. Expected Deliverables • Annotated report review and prioritized findings memorandum. • Current-state and target-state workflow maps covering pre-deposition, live deposition, and post-deposition activities. • Tool rationalization matrix: use, pilot, retain narrowly, defer, or eliminate—with reasons, dependencies, risks, and costs. • Relativity deposition-intelligence design, including workspace configuration, roles, permissions, metadata, transcript/video ingestion, aiR workflows, quality control, NetDocuments handoffs, and archival/export standards. • Court-reporter and agency specification, RFP/quote template, candidate/vendor scorecard, rate-card scenario model, and Relativity-ready delivery schedule. • Security and AI due-diligence checklist, risk register, approval matrix, and issue-escalation protocol. • Pilot plan, pilot execution support, after-action report, and quantified results. • Final RLF SOP package, attorney/SP quick-reference guides, training sessions and recordings, and 90-day rollout roadmap. Optional Second Stage The consultant may be asked to recommend which validated components could be converted into a Sentric workflow or service, subject to separate contractual and leadership approval. Required Qualifications • At least seven years of directly relevant experience across litigation technology, eDiscovery, court-reporting/deposition operations, legal operations, or a closely related field. • Demonstrated responsibility for designing or implementing deposition technology workflows for U.S. law firms, litigation departments, court-reporting agencies, or legal-services providers. • Strong hands-on RelativityOne experience, including workspace design, permissions, document/transcript workflows, analytics or AI-enabled review, and defensible export. You must clearly describe what you personally configured or implemented. • Practical understanding of how a U.S. deposition record is noticed, captured, administered, certified, delivered, corrected, preserved, and used; ability to distinguish an official record from convenience transcription or AI-generated work product. • Experience evaluating remote deposition platforms, exhibit workflows, realtime, rough transcripts, legal video, transcript formats, synchronized video, and reporter/agency deliverables. • Ability to evaluate security, privacy, retention, AI-training, subprocessor, access-control, insurance, and vendor-contract risks in collaboration with lawyers and cybersecurity professionals. • Proven ability to move from assessment to configuration, pilot execution, documentation, training, adoption, measurement, and continuous improvement. • Excellent written and spoken English, executive-level judgment, organized project management, and the ability to explain technical issues clearly to attorneys and paralegals. Preferred Qualifications • Direct production experience with Relativity Transcripts, aiR for Case Strategy, aiR Assist, aiR for Review, aiR for Privilege, or Relativity AV Transcription. • Current or prior Relativity certification, such as Relativity Certified Administrator or another directly relevant RelativityOne credential. • Current or prior court-reporting, legal-videography, or digital-reporting credential or material operations experience with an NCRA- or AAERT-aligned reporting organization. • Federal civil litigation and federal bankruptcy deposition experience, including adversary proceedings, contested matters, or Rule 2004 examinations. • Experience with NetDocuments, enterprise transcription tools, litigation chronologies, transcript-designation tools, trial presentation, or eDiscovery-to-trial workflows. • Experience working with small or midsize law firms that need sophisticated systems without large-enterprise staffing levels. • Training, instructional design, SOP development, change management, or legal-technology adoption experience. • Vendor-neutral perspective. If you are a reseller, referral partner, or otherwise economically connected to a product, you must disclose that relationship. Role Clarification and Boundaries • This consultant is not being hired to serve as the neutral court reporter, deposition officer, videographer, or certifying professional unless a separate engagement is expressly approved for a specific proceeding. • The consultant will not provide final legal advice on remote-oath authority, court rules, bankruptcy procedure, privilege, recording consent, ethics, protective orders, or evidentiary use. RLF attorneys retain those decisions. • The consultant may recommend and coordinate vendors but may not bind RLF, sign agreements, incur costs, authorize data transfers, or communicate externally on RLF's behalf without express permission. • The consultant must preserve the certified transcript and official record unchanged. Summaries, annotations, AI outputs, and other derivatives must be clearly separated and page-line anchored. Work Structure and Expectations • The initial engagement is expected to require approximately 50–90 hours over 8–12 weeks, generally 5–15 hours per week. Scope may expand only with prior approval. • Mandatory sync hours are 7:00 AM–2:00 PM Pacific Time (U.S.) on agreed working days. Because this is project-based, the consultant need not bill all seven hours each weekday, but must be reasonably available for scheduled meetings, pilot support, and responsive collaboration during this window. • Work outside sync hours is flexible when deliverables, security requirements, deadlines, and communication obligations are met. • On-camera participation is required for meetings, training, check-ins, demonstrations, and substantive collaboration. Meetings must be attended from a computer, not a phone, absent an emergency. • During agreed work blocks, acknowledge substantive Zoom Chat or ClickUp communications promptly and ordinarily within one hour; urgent pilot or live-event issues require immediate escalation. Systems and Timekeeping • All work must be organized through ClickUp and RLF's approved systems. Internal communication is through Zoom Chat. • Use of Upwork's automatic time tracker is mandatory. The work diary must contain accurate memos, periodic screenshots, appropriate activity levels, and time entries tied to the actual task. Weekly caps may not be exceeded without prior written approval. Technology and Hardware Requirements • Reliable high-speed internet suitable for remote demonstrations, secure data access, and video collaboration, with a reasonable backup-connectivity plan. • A modern computer capable of operating enterprise legal technology and secure remote environments; current operating-system and security updates; encrypted local storage; and endpoint protection consistent with RLF requirements. • Professional-grade camera and microphone and a quiet, private, distraction-free workspace. • Ability to use RelativityOne, NetDocuments, ClickUp, Zoom, Zoom Chat, Microsoft 365, and Otter Enterprise as authorized. Do not introduce personal file-sharing services or unapproved software into the workflow. • No shared credentials, no access from public or shared computers, and no local retention of client data except as expressly authorized. Confidentiality, AI Use, and Work Product • The consultant must sign RLF's confidentiality agreement, nonbinding term sheet, and contractor services agreement before receiving confidential access. • Client information, legal strategy, transcripts, exhibits, credentials, reports, pricing, contracts, system configurations, and all other RLF or client information may not be used, disclosed, retained, published, shared, or added to a portfolio without prior written authorization. • Only RLF-approved enterprise AI and transcription tools may be used. No RLF or client content may be entered into a personal, consumer, free, or unapproved AI account. • AI may assist analysis, drafting, testing, and workflow development, but human review and source verification are mandatory. AI output is never the official deposition record and must not be treated as final legal or factual authority. • All work product created for the engagement—including analyses, configurations, prompts, taxonomies, templates, checklists, SOPs, training materials, recordings, and derivative workflows—is owned by RLF, subject to any expressly disclosed and approved preexisting materials. Communication Standards • Be candid about uncertainty, product limits, legal boundaries, implementation risk, and evidence that contradicts the report or an RLF assumption. • Convert meetings and decisions into clear ClickUp tasks, owners, deadlines, dependencies, and written decision records. • Escalate security, data-integrity, certification, access, budget, or live-event risks immediately rather than waiting for a routine status meeting. • Do not communicate with clients, courts, witnesses, opposing counsel, reporting agencies, or other outside parties unless specifically authorized and appropriately supervised. Economic relationships must be disclosed. • A strategy-only consultant who produces a deck but does not configure workflows, support a pilot, train users, and measure adoption. • Someone who treats security certification badges as a substitute for account-tier, contract, data-flow, retention, subprocessor, and AI-training review. • Someone who cannot work within RLF's required systems, sync window, on-camera practices, confidentiality obligations, or Upwork time tracking. The Candidate Most Likely to Succeed The strongest candidate is likely to have worked inside a sophisticated litigation-support provider, court-reporting agency, eDiscovery consultancy, Relativity service organization, or litigation department and to have personally led implementation—not merely advised from a distance. You are equally comfortable discussing Rule 30 workflow with a litigator, transcript formats with a reporter, permissions and aiR with a Relativity administrator, retention and subprocessors with security counsel, and adoption metrics with firm leadership. You are practical, vendor-neutral, willing to challenge assumptions, and energized by turning fragmented tools into a disciplined operating system. RLF has a completed deposition-technology market report recommending a qualified neutral reporter/officer for the official record and Relativity as the principal preparation and post-certification intelligence layer. Identify the five most important assumptions you would validate before accepting that architecture. Then outline an eight-week pilot covering pre-deposition preparation, the live deposition workflow, final certified-package ingestion, aiR-enabled analysis, security and attorney-review controls, team training, and measurable success criteria. Explain which tasks must remain with the reporter/officer, which belong in Relativity, which belong in NetDocuments, and where you would consider a separate tool.
