Develop an AI Agent to Extract Repair Order Updates from Outlook Emails into Google Sheets

We are looking for an experienced freelancer to develop an AI-powered automation that reviews incoming Outlook emails daily, identifies repair-order updates, extracts the required information, and consolidates it into a Google Sheet. Required Workflow The AI agent should: 1. Review all emails received in our Microsoft Outlook mailbox. 2. Identify emails containing a Repair Order number in the following format: o Starts with RO o Followed by 7 or 8 digits o Example: RO1234567 or RO12345678 o The Repair Order number may appear in either the email subject or body. 3. Read and understand the email content and extract any available updates relating to: o Repair Order number o Part number o Part serial number o Part description o Repair description o Approved order value o Invoice number o Invoice amount o Settlement or payment date o Settlement or payment amount o Current order status, such as:  Order received  Repair started  Repair on hold  Repair completed  Payment completed o Sender’s name or email address o Email sent date 4. Use AI to interpret the email content even when the information is written in an unstructured format or the field names are not explicitly mentioned. 5. Consolidate the extracted information into a Google Sheet in a structured table. Google Sheet Requirements • Each Repair Order number should have only one row. • If further emails are received regarding an existing Repair Order, the AI agent should update the same row instead of creating a duplicate row. • Existing information should not be deleted when a new email contains only a partial update. • Updates may come from different people and email addresses. • The “Sent By” column should retain the names or email addresses of all relevant senders, separated by a dash. • The corresponding email dates should also be recorded for audit and future reference. • The Google Sheet should maintain a cumulative and up-to-date record of all Repair Orders. Schedule The automation should run automatically every day at 5:00 AM UAE time, so the latest Repair Order status is available for review in the morning. Preferred Freelancer Experience The ideal freelancer should have experience with: • Microsoft Outlook or Microsoft Graph API • Google Sheets API • AI-based email interpretation and structured data extraction • Power Automate, Make, n8n, Zapier, or similar automation platforms • Handling duplicate records and updating existing Google Sheet rows • Secure handling of email and business data • Error logging and notification mechanisms Expected Deliverables • A fully functional and tested AI automation • Integration with our Outlook mailbox and Google Sheet • Automatic identification and consolidation of Repair Orders • Prevention of duplicate rows • Daily scheduled execution • Error-handling and notification process • Simple user documentation • Handover and basic training • Support during initial testing and implementation When submitting your proposal, please explain: 1.
