AI Systems Architect – Backend Audit, Automation & Infrastructure Part-Time Contract (20 hrs/week) | Remote | Potential Full-Time We're a seven-figure business mentorship company that's already using AI across operations, content, and marketing. We're not starting from zero. We have a clear roadmap of what we want to build. We need someone who can audit what we have, find the gaps, and start building. The Role We're hiring an AI Systems Architect to audit our backend, identify bottlenecks, and design + build the systems that let us scale from 50 clients to 100+ without adding labor costs proportionally. This isn't a "build us some ChatGPT prompts" role. This is infrastructure. You'll be mapping workflows, finding where we're leaking time and money, and architecting solutions that make the entire operation tighter, faster, and more scalable. What You'll Actually Be Building We've identified six high-impact areas. You'll audit what exists, prioritize what to build first, and execute: Tool & Platform Audit Audit every tool, subscription, and integration we're currently paying for Identify redundancies, underused platforms, and tools we're paying for but not leveraging Recommend consolidation where one tool can replace two or three Eliminate unnecessary costs and simplify the stack Client Communication & Support AI chatbot for first-line client support (handle 70-80% of routine questions, escalate complex issues with context) Reduce messenger management from 10 hrs/week to 3-4 hrs 24/7 availability without adding headcount Lead Nurture & Follow-Up Build automated systems to ensure every lead is being nurtured and followed up with in a timely manner No lead falls through the cracks between inquiry and sales call Automated sequences that adapt based on lead behavior, engagement, and stage Reporting on lead response times, follow-up gaps, and conversion drop-off points Critique & Feedback Automation AI pre-analysis of client work before coaches review (initial feedback points generated automatically) Voice-to-text pipeline so coaches can speak critiques and AI converts, structures, and formats them Cut critique time per client in half while maintaining the personal touch Onboarding & Roadmap Creation AI roadmap generator that takes client goals and creates customized plans for coaches to personalize Smart onboarding sequences that adapt based on client responses and deliver resources automatically Scale from current capacity to 25+ new clients/month without additional time Administrative & Backend Operations AI extracts key info from calls and messages into client profiles automatically Progress tracking and automated weekly client status reports Calendar and scheduling optimization based on client needs and urgency Content repurposing and training material generation from existing assets What We're Looking For 3-5+ years in AI, automation, or systems engineering. Agency, coaching, or service-based business experience strongly preferred. Deep experience with automation and API integrations across CRMs, email platforms, and client delivery tools. Hands-on with AI tools: OpenAI/GPT models, Claude/Anthropic, prompt engineering, RAG pipelines, custom GPTs. Strong systems thinker who can map a full workflow, spot the bottleneck, and build the fix. Can write clear documentation and SOPs that a non-technical team can follow. Comfortable working independently from strategic direction without needing hand-holding. Familiar with marketing/coaching business operations: funnels, CRMs, email platforms, client delivery workflows. Bonus Points Experience with GoHighLevel, Klaviyo, or similar marketing platforms. Background in data analytics, reporting dashboards, or performance tracking. Familiarity with Claude Code, Cursor, or other AI-assisted development tools. Experience auditing and optimizing existing tech stacks, not just building from scratch. You've worked inside a fast-scaling company and understand what breaks at each stage. Experience building AI chatbots or conversational AI for client-facing support. About the Role This is a 20 hour/week contract to start. You'll work directly with the CEO. We move fast, we value execution over meetings, and we care about results, not hours logged.
