# CommonSKU Operations &Print and Promotional Operations Head **Compensation: Based on Experiance) Negotiable. **Schedule: Reliable 8am to 6pmestU.S. Eastern Time required** We are hiring an experienced operations specialist to manage promotional merchandise and print projects from the initial presentation through final delivery and follow-up. ## Non-Negotiable Requirement You must have multiple years of hands-on experience working in **CommonSKU**. This is not an entry-level position. You should already understand how to manage presentations, estimates, sales orders, purchase orders, invoices, proofs, vendor communication, production, shipping, and order follow-up inside CommonSKU. ## Core Responsibilities * Create accurate, well-organized product presentations. * Prepare estimates and quotes with verified pricing, freight, setup charges, decoration costs, and margins. * Convert approved projects into sales orders and purchase orders. * Issue invoices correctly and confirm billing requirements. * Place orders with suppliers and decorators. * Collect and verify artwork, quantities, sizes, colors, shipping addresses, and in-hands dates. * Review proofs for logo accuracy, placement, spelling, alignment, imprint colors, and product specifications. * Obtain written client approval before production. * Confirm production schedules, firm ship dates, transit times, and delivery dates. * Track every order through production, shipment, delivery, and client confirmation. * Proactively follow up with clients, suppliers, decorators, and shipping carriers. * Identify delays or risks early and communicate solutions immediately. * Maintain detailed notes, status updates, next steps, and due dates in CommonSKU. * Create, document, and improve SOPs for repeatable operations. * Use AI tools where appropriate for drafting, research, organization, reporting, and process automation. ## Required Decoration Knowledge You should understand the pricing, artwork requirements, production process, and limitations of: * Screen printing * Embroidery * Direct-to-garment printing * DTF and heat transfers * Dye sublimation * Pad printing * Full-color digital printing * UV printing * Laser engraving * Debossing and embossing * Woven and printed patches * Promotional product imprinting * Offset, digital, and wide-format printing * Banners, signage, packaging, and printed materials ## Required Workflow 1. Review the client’s request, quantity, budget, artwork, delivery location, and in-hands date. 2. Research suitable products and verify inventory, pricing, decoration, and turnaround. 3. Build a curated CommonSKU presentation with accurate quantity breaks and pricing. 4. Follow up on the presentation and obtain the client’s selection. 5. Create the estimate or sales order and verify margin, freight, setup, and decoration charges. 6. Collect all missing information before placing the order. 7. Submit purchase orders and artwork to the correct suppliers and decorators. 8. Obtain vendor acknowledgment and a written production schedule. 9. Review the proof carefully and obtain written client approval. 10. Confirm the production completion date, ship date, and expected delivery date. 11. Monitor the job proactively until it ships. 12. Enter tracking and communicate shipment details to the client. 13. Confirm successful delivery and resolve any problems immediately. 14. Follow up with the client after delivery and close the project properly in CommonSKU. ## Rush-Order Expectations You must be comfortable managing urgent projects and tight deadlines. Never promise a turnaround or delivery date without first verifying inventory, production capacity, decoration timing, transit time, and the delivery address. Rush jobs require frequent follow-up and proactive communication. You are expected to stay involved until the order is successfully delivered—not simply until the purchase order is placed. ## What Success Looks Like * Every active order has an owner, current status, next action, and due date. * Clients receive accurate and proactive updates. * No production begins without verified specifications and proof approval. * Ship dates and delivery expectations are communicated accurately. * Orders are invoiced correctly and monitored through delivery. * Risks involving deadlines, margins, payment, artwork, or delivery are escalated immediately. * No project is left without follow-up. * AI assists the workflow, but pricing, production, delivery, and invoicing commitments are always reviewed by a qualified team member.
