# ERPNext Manufacturing and Accounting Implementation for a Food Factory ## Company Agro Food Industries Ltd is a food-manufacturing company producing tomato ketchup, tomato sauce and related packaged food products. We are looking for an experienced ERPNext functional consultant and developer to configure and implement ERPNext for our factory operations. ## Main project objective We need a complete ERPNext system that connects: * Purchasing * Raw-material inventory * Packaging-material inventory * Manufacturing * Bills of Materials * Work Orders * Batch and expiry tracking * Quality control * Finished-goods inventory * Sales and distribution * Accounts receivable * Accounts payable * General accounting * Production costing When we manufacture a batch, the system must reduce the actual raw materials and packaging used, increase finished-goods inventory and correctly post the related accounting entries. ## Required scope ### 1. Company and accounting setup * Company configuration * Chart of Accounts * Cost Centers * Accounting Dimensions * Bank and cash accounts * Accounts Receivable * Accounts Payable * Perpetual inventory * Inventory valuation * Profit and Loss * Balance Sheet * Cash Flow * Product and department profitability ### 2. Warehouse configuration Configure warehouses for: * Goods receiving * Raw-material quarantine * Approved raw materials * Packaging materials * Rejected materials * Work in Progress * Bulk semi-finished products * Finished products awaiting quality approval * Released finished goods * Scrap * Damaged and expired goods * Customer returns * Delivery vehicle stock ### 3. Item setup Configure: * Raw materials * Food additives * Packaging materials * Semi-finished goods * Finished goods * Scrap items * Units of measure * UOM conversions * Item groups * Item codes * Reorder levels ### 4. Manufacturing Configure: * Multi-level Bills of Materials * Bulk ketchup and sauce BOMs * Packaging BOMs * Operations * Workstations * Production Plans * Work Orders * Job Cards * Material transfer to Work in Progress * Actual material consumption * Manufacture Stock Entries * Finished-goods receipt * Scrap and production losses * Production returns * BOM version control ### 5. Production costing The system must calculate: * Ingredient cost * Packaging cost * Direct labor * Workstation cost * Electricity or energy allocation * Manufacturing overhead * Scrap recovery * Total batch cost * Cost per litre * Cost per piece * Cost per carton * Actual versus BOM consumption * Production yield * Manufacturing variance ### 6. Batch and quality management Configure: * Raw-material batches * Supplier batch numbers * Internal production batches * Manufacturing dates * Expiry dates * Batch traceability * Quality inspections * Incoming material inspection * In-process inspection * Finished-product inspection * Quality-release workflow * Rejected and quarantined stock Quality parameters may include: * Brix * pH * Viscosity * Colour * Taste * Fill weight * Seal integrity * Packaging appearance ### 7. Purchasing and landed cost Configure: * Material Requests * Requests for Quotation * Supplier Quotations * Purchase Orders * Purchase Receipts * Purchase Invoices * Supplier advances * Landed Cost Vouchers * Freight, clearing, customs and transportation costs ### 8. Sales and distribution Configure: * Customers * Sales territories * Price lists * Sales Orders * Pick Lists * Delivery Notes * Sales Invoices * Credit limits * Customer returns * Route or delivery-vehicle stock ### 9. Roles and approvals Configure roles for: * Managing Director * Finance Manager * Accountant * Cost Accountant * Procurement Officer * Warehouse Manager * Storekeeper * Production Manager * Production Supervisor * Quality-Control Officer * Sales Manager * Sales Representative * Dispatch Officer Approval controls are required for BOMs, purchases, stock adjustments, manufacturing entries and accounting transactions. ### 10. Reports Required reports include: * Stock Balance * Stock Ledger * Batch expiry * Material shortage * Production Plan versus actual * Raw-material consumption * Actual versus BOM usage * Production yield * Scrap and wastage * Cost per production batch * Cost per finished product * Gross profit by product * Accounts Receivable Aging * Accounts Payable Aging * Profit and Loss * Balance Sheet * Cash Flow * Inventory valuation versus General Ledger ## Testing requirement The consultant must demonstrate a complete test transaction covering: 1. Purchase of raw materials. 2. Receipt into quarantine. 3. Quality approval. 4. Transfer to approved raw-material inventory. 5. Creation of a production Work Order. 6. Transfer of ingredients to Work in Progress. 7. Recording actual consumption. 8. Recording labor, overhead and scrap. 9. Completion of a production batch. 10. Finished-goods quality approval. 11. Sale and delivery of the finished product. 12. Correct inventory and accounting entries. ## Required freelancer experience Applicants must have: * Proven ERPNext implementation experience * Strong ERPNext manufacturing knowledge * Strong accounting knowledge * Experience with BOMs, Work Orders and Stock Entries * Experience with batch and expiry tracking * Experience with food, beverage, FMCG or process manufacturing * Experience with ERPNext version 15 or the current stable version * Ability to provide training and documentation ## Application questions Please answer the following: 1.
