Job description I'm looking for an Ecommerce Bookkeeper & Daily Profit Reporting Analyst to join our team. You will own the numbers. Your core deliverable is a daily profit report, in our slack inbox every morning, that tells us exactly what we made yesterday - revenue, fees, COGS, ad spend across every channel, tax, fixed costs, refunds, and net profit on the day. You will also keep our books clean, own the month-end close, and be the person who can answer "where did the money actually go?" without us having to guess. We are looking to hire someone with 3+ years of experience doing ecommerce bookkeeping or finance for a DTC brand. The ideal candidate has worked directly inside Shopify, has reconciled Shopify Payments payouts properly, understands UK VAT, and has built a daily or weekly P&L that a founder actually used to make decisions. Bonus points for multi-currency and multi-market experience. This is not a data entry role. We are scaling fast across two countries and our margins are tight. For this role specifically, we need someone who is genuinely bothered by a number that doesn't reconcile. Someone who will chase a £400 discrepancy because they want to know what caused it, not because they were asked. Someone who tells the founder bad news early rather than burying it in a spreadsheet tab. Key Objectives - Deliver a daily net profit report every morning, covering the previous day, with every cost line accounted for. - Own the weekly KPI sheet - populate it with verified figures before our Monday review so decisions are made on real data, not estimates. - Maintain accurate books in our accounting software, reconciled to the bank and to Shopify payouts. - Track and report refunds, returns and chargebacks as a percentage of revenue, and flag any trend early. - Ask question about where funds are moving to and why to keep track - Maintain a live cash position and VAT liability figure so we always know what is ours and what belongs to HMRC. - Own month-end close and prepare everything our accountant needs for VAT returns and year-end. - Build and maintain the COGS and landed cost model per SKU, updating as supplier and freight costs change. - Flag anomalies proactively - unexpected charges, subscription creep, duplicate payments, fee changes. - Support our expansion into the US: Separate market-level P&L. Requirements - Fully remote. Based in the Philippines or a compatible timezone. - Fluent written English. You will be writing commentary, not just filling cells. - 3+ years of ecommerce bookkeeping or finance experience, ideally with a DTC brand doing meaningful volume. - Hands-on experience with Shopify admin, Shopify Payments payouts and reports — not just an export someone else gave you. - Proficiency with Xero or QuickBooks Online, and ideally a Shopify reconciliation tool such as A2X or Link My Books. - Advanced Google Sheets / Excel. You can build a reporting model from scratch, not just maintain someone else's. - Working knowledge of UK VAT - what is and isn't included in revenue, standard vs zero rated, and how the liability accrues. - Comfortable with multi-currency reporting and FX differences. - Familiarity with reading ad platform spend from Meta Ads Manager and Google Ads. - Accurate to the point of being slightly obsessive. Small errors compound into wrong decisions here. - Excellent cultural fit as per our values above. - Accountabilities - Deliver the daily profit report by 5:00am UK time, every working day, without being chased (12:00pm Philippines time) - Populate the weekly KPI sheet with verified figures before Monday morning. - Reconcile all Shopify Payments payouts to orders, with any variance explained. - Complete month-end close within 5 working days of month end. - Maintain a rolling refund and return rate, reported weekly. - Maintain an up-to-date VAT liability figure at all times. - Keep the COGS model current within one week of any supplier or freight cost change. - Raise any cost anomaly within 24 hours of spotting it. - Prepare quarterly figures and commentary for the founder and the external accountant. How Our Hiring Works & How We Operate 1. Initial Loom: Max 4 minutes Topics - Introduce yourself! - The last ecommerce business whose books you owned e.g. Name the brand or describe it - what they sold, roughly what revenue, which platform. Then: what did you specifically own versus what did someone else do. Which tools. And how long. - Screen-share a profit report you've built e.g. Redact whatever they need to. Walk through the line items and say where each number came from. Then: what's the one thing about it that was hardest to get right 2. Interview After the loom, we will reach out and get you scheduled for an interview with the founder to chat more about the role, answer any questions and exchange ideas. Salary Expectation: $450/month - Covers daily P&L delivery, weekly KPI sheet and call, and monthly close and reporting. Ongoing workload is approximately 30–35 hours per month. This is a part-time, long-term engagement — you're free to hold other clients, provided the 9:00am UK delivery and month-end deadlines are met. We will review scope and compensation as the business grows.
