Educational Word Pack Producer (InDesign, AI Tools, Interactive PDFs)

We are looking for a reliable, detail-oriented InDesign & AI Production Specialist to work with us on an ongoing freelance basis to help us create interactive educational word pack PDFs that teach vocabulary to primary school children (KS2, ages 8–11). We have 4+ packs to produce immediately, with more in the pipeline. An example pack is attached. Each pack contains approximately 30 words and produces a ~110-page interactive PDF. Each pack takes approximately 1–2 hours of production time once you are familiar with the workflow. You will not be starting from scratch. For every pack, we supply the topic, a complete word list with definitions and synonyms, illustration images, and an editable InDesign intro template. Your role is to turn those inputs into a polished, fully interactive word pack PDF using InDesign and AI production tools of your choice. What You Will Do For each pack, you will own the production process from the InDesign preparation through to the final interactive PDF. Here is an example of the full product: Example Pack (Ancient Egypt) InDesign preparation: Open our supplied intro template and update it with the correct pack title on the cover, the correct word list on the contents page (alphabetical, with page numbers), and the correct glossary page. Export as PDF. CSV preparation: Build the word data CSV from our Google Sheet using the correct column format (word, part_of_speech, definition, synonyms, word_pairs, turn_and_talk, image_url). Convert Google Drive share links to direct download URLs. Word card generation: Upload the CSV to our word card generator tool (URL and password provided). Click Generate All, wait approximately 3 minutes, and download the merged PDF output. Image fixes: Check portrait cards for blank/missing images. Where images failed to render, download the illustration and overlay it onto the blank page. PDF assembly: Merge the intro PDF (pages 1–14) + generated word cards + Meet the Cast section (pages 15–18 of the intro) into the final document. Navigation links: Add 5 clickable nav links to every page — Home (page 1), Contents, Glossary, Previous page, Next page — positioned correctly in the nav bar area. Full interactivity: Add glossary word links, grid cell links, correct page numbers, and a working print button on every page. Print buttons must use the /Named /Print action for universal PDF viewer compatibility. What We Provide For each pack, you will receive: The InDesign intro template file (editable .indd) The word list with all data (from our Google Sheet — colour-coded by source) Illustration image links for every word (Google Drive) Access to the word card generator tool (URL + password) This production brief with step-by-step instructions A completed example pack for reference The page number formula: Word 1 = page 15, Word 2 = page 17, Word N = 15 + (N-1) × 2a Application process We use a two-stage selection process. Stage 1 — Application and portfolio review Your initial application should include: A relevant example of previously completed educational resources, linked PDFs, worksheets, card packs, or similar production work. Please remove or obscure any confidential information. A brief description of your experience creating and quality-checking PDFs with internal navigation links. The software and workflow you normally use to assemble, merge, and test multi-page PDF resources. Please do not create a new sample, select words from our CSV, or produce any materials for your initial application. We are not requesting unpaid test work. Stage 2 — Short paid production task Following our Stage 1 review, we expect to shortlist up to 5 candidates for a short paid evaluation task. Before any work begins, each shortlisted candidate who accepts the task will receive a separate fixed-price Upwork contract with the milestone funded in advance. The task is expected to take approximately 1 hr.
