Electrical Engineering Project Coordinator

We're a small, established electrical engineering firm in the construction space, focused on niche electrical designs. We're growing and need a sharp, organized project coordinator to become the owner of our client inbox — the reliable person between our clients and our technical team. This is a trust role with real technical depth. You'll be the first point of contact for contractors, developers, and project managers — over email and occasionally on calls — keeping conversations moving, keeping projects on schedule, and making sure the right questions get to the right people. Because you'll be on client calls fielding live questions, electrical engineering experience is a major advantage. You don't have to be a licensed professional engineer, but the more engineering fluency you bring, the better you'll do here: you answer what you can in the moment, and confidently bring in our engineer for the rest. Note: we do have licensed professional engineers on staff, so you won't be on your own for making technical decisions, but being able to understand communications and make informed decisions on where to route items is critical. WHAT YOU'LL OWN - The client inbox. First response on every client thread — professional, warm, on-time. You become the person clients rely on. - Routing. Learn to recognize which questions are routine (you handle) vs. which need our professional engineer (you route). When in doubt, you escalate — never guess on a technical call. This is the most important part of the job. - Client calls. Get on the phone/video with clients — kickoffs, check-ins, walking through questions and comments. You'll field what you can technically and take engineering-judgment items back to our engineer. (This is why engineering background matters so much.) - Project coordination. Track deadlines and deliverables; chase what's outstanding; make sure nothing slips silently. Flag risks before they become problems. - Keeping things calm. Occasionally a thread gets tense (a scope question, a cost disagreement). You keep it professional and de-escalate — you don't take the bait, and you don't panic. - Working with AI tools. We leverage AI internally to improve operations. Experience working with AI systems is important, and if you can help improve our systems then that's even better. YOU'RE A GREAT FIT IF YOU - Take ownership. You bring a recommendation, not "what do you want me to do?" - Have great written communication — clear, warm, professional, composed under pressure. - Bring technical fluency — electrical engineering experience strongly preferred. You'll be on client calls fielding real questions in real time, so the more engineering background you have, the better. Not required to be licensed, but you must be able to hold a technical conversation and know the edge of what to answer vs. route. - Stay calm around conflict. Difficult conversations don't rattle you — ideally you like resolving them. - Are relentlessly organized — nothing drops, deadlines are tracked, follow-through is automatic. - Are self-directed — you run without hand-holding and communicate proactively. - Are comfortable with tech — email, project tools, AI assistants; you learn systems fast. NICE TO HAVE - Prior experience in construction, AEC, or a technical services firm. - Experience as an executive assistant, ops coordinator, or client-success role where you owned communication. DETAILS - Part-time to start: up to ~10 hrs/week, remote, flexible hours (overlap with US business hours needed for client responsiveness). - Pay — a fixed weekly retainer, not variable hourly billing: roughly $300–500/week (equivalent to ~$30–50/hr for up to ~10 hrs, based on experience).
