Summary

We are seeking an experienced consultant to enhance our email deliverability. The ideal candidate will have a strong understanding of email marketing and communication, with a focus on ensuring emails reach their intended recipients. Responsibilities include analyzing current email systems, identifying areas for improvement, and implementing strategies to boost deliverability rates. The consultant should also provide guidance on best practices for email communication and support. 1. Authenticate your domain SPF – Publish one correct SPF record that includes every service that sends mail for you. DKIM – Enable DKIM signing (preferably 2048-bit keys) so messages are cryptographically signed. DMARC – Publish a DMARC record. Start with p=none + reporting addresses, then move to quarantine or reject once you’re confident. Alignment – The domain in the visible From: address must align with SPF or DKIM (required for bulk senders). Google and Yahoo require SPF + DKIM + DMARC for anyone sending roughly 5,000+ messages/day to their users. Unauthenticated mail is heavily filtered or rejected. 2. List hygiene Only send to verified addresses. Hard bounce rate should stay under 1–2% (ideally under 1% for cold). Never buy or rent lists — they contain spam traps and invalid addresses. Regularly remove hard bounces, role-bounces, and inactive contacts. Suppress role addresses (info@, support@, etc.) and known complainers. 3. Sender reputation & volume Warm up new domains/IPs gradually (start low and increase over 2–4 weeks). Keep daily volume consistent — sudden spikes look like spam. Aim for: Spam complaint rate under 0.1% (danger zone starts around 0.3%). Hard bounce rate under 1–2%. Monitor reputation in Google Postmaster Tools, Microsoft SNDS, and Yahoo Sender Hub. 4. Technical infrastructure Use a dedicated subdomain for outbound/cold mail (e.g. mail.yourcompany.com or outreach.yourcompany.com) so problems don’t poison your main domain. Valid reverse DNS (PTR) on sending IPs. Send over TLS. Keep a real mailbox behind the From: address. 5. Content & compliance Clear, relevant subject lines and short, personalized body copy. Avoid spammy words, excessive links, big images, or all-image emails. Always include a working unsubscribe (one-click / List-Unsubscribe header is required for bulk senders at Gmail/Yahoo). Honor opt-outs quickly (within 1–2 days). 6. Ongoing monitoring Track inbox placement (not just “delivered”). Watch complaint rates, bounces, and engagement by provider. Test with tools that check authentication and spam scores before big sends. Sunset (stop emailing) people who never open or engage.
