Email Deliverability & Operations Specialist

Summary

We currently have 700,000 active email subscribers. 5,000 new subscribers every day. We send over 10 million emails a month. We would like to hire someone to manage the deliverability of those emails. We're an online English test preparation business. We send three broadcasts a week and run a full set of automated flows behind that. It adds up to over 10 million emails a month. The system already works and already makes real money. It just has no owner who can make sure it reaches its full potential. We want someone who treats deliverability as engineering, not as "avoid the word FREE in your subject line. What you'd own Authentication. SPF, DKIM, DMARC across all sending domains. Alignment, policy, the lot. Sending architecture. Subdomain strategy, separating marketing from transactional sending so a promo reputation hit never touches receipts or course access mail. Reputation monitoring. Google Postmaster Tools, Microsoft SNDS, blocklists, seed and inbox placement testing. List hygiene. ZeroBounce verification on entry and re-verification of aging segments. Automated bounce, complaint and unsubscribe cleaning. Suppression lists. Segmentation. The rules that separate warm from cold, the sunset policy, and the re-engagement path that runs before suppression. Send operations. Build, QA and schedule broadcasts and autoresponders. Copy is provided, so you own correctness rather than creativity. Reporting. A weekly Email Health report, incident playbooks for bounce and complaint spikes, and one proposed improvement a week with the data behind it. We're on Kajabi and AWeber, both shared IP, which limits what we can control at the infrastructure layer. We're open to migrating. An early deliverable is an honest audit and a stay-or-move recommendation. If we move, you plan and run it. Two ways to work with us. Pick whichever suits you. Option A, full-time, 30-40 hrs a week. You own everything above end-to-end, day-to-day send operations included. You will have to drop all other work committments if you choose this pathway. Option B, part-time and ongoing, 10-15 hrs a week. You own the technical and strategic layer. Authentication, reputation, segmentation architecture, incident response, and the weekly health report. Our team handles the execution support, so your hours go on the work only you can do rather than on clicking through send setups. This suits someone who already has clients and wants a stable long-running retainer alongside them. Tell us in your proposal which option you want and why. We have no preference. We'd rather have 10 excellent hours a week than 40 mediocre ones. What we measure These are benchmarked against what our list already does, not lifted from a blog post. Spam complaint rate below 0.01% per send Hard bounce below 0.02% on warm list sends SPF, DKIM and DMARC correct on 100% of sending domains Google Postmaster domain reputation at High or Medium, no major blocklistings Engaged list ratio up 10% in the first 90 days against a baseline you set in week one Zero critical send errors per quarter. Wrong list, wrong offer, wrong date 95% of campaigns built and QA'd 72 hours before send. Open Rates and CTA maintained and then steadily improved. These differ from list to list but are currently healthy. Must-haves 3+ years owning deliverability or email operations for a sender with 100,000+ contacts Hands-on list hygiene, suppression and verification tool experience Clear written English. You'll write reports and playbooks people act on Nice to have Kajabi or AWeber. GlockApps, MailReach, Litmus or Mail-Tester. Microsoft SNDS, JMRP, BIMI. An ESP migration you've personally run. GA4 or basic SQL. Who this isn't for People who've only built campaigns in a drag-and-drop editor. People who need daily direction and hand-holding. Anyone who ships first and checks later. Agencies. We want an individual, not a bench. How we hire Proposal, then a short call, then a paid test task at 2-3 hours at your rate covering a deliverability audit, a segmentation plan and a sample health report. Then a final conversation with our founder. We don't ask for free work, and we don't drag it out. Two to three weeks start to finish. Please don't send a template proposal. Tell us about the largest list you've kept deliverable and one specific thing you changed to do it. That's enough to start a conversation. Please don't send AI slop in your application. If you don't have the work ethic to write a proposal, I'll assume that's how you do everything.
