Email Outreach Assistant Needed for Time-Sensitive Theatre Industry Invitation

We are seeking a reliable, detail-oriented virtual assistant to execute email outreach for an invitation-only virtual reading of a new original musical taking place Monday, August 31. The outreach strategy, recipient list and email copy are already prepared. This is primarily an execution and organization assignment—not a lead-generation or marketing-strategy project. However, existing relationships within the professional theatre world would be a significant bonus, particularly connections to producers, general managers, artistic directors, new-work departments, literary agents and theatrical investors. Responsibilities: Review and organize an existing list of theatre and entertainment-industry contacts Verify recipient names, titles and email addresses where needed Personalize an approved email template for each recipient Prepare and/or send individual emails using an approved workflow Maintain an accurate outreach tracker Track RSVPs, responses and bounced emails Flag important responses for immediate attention Send a formal invitation later this week and one follow-up before the event Where appropriate, suggest additional relevant contacts from your own professional theatre network The ideal candidate: Has excellent written English Is highly accurate with names, companies and email addresses Can follow instructions without unnecessary supervision Has experience with executive, entertainment, event or investor outreach Is comfortable working with Google Sheets and Gmail or a comparable email platform Understands discretion and confidentiality Can begin immediately and complete the initial outreach within 24 hours Preferred bonus qualifications: Professional experience in theatre, Broadway, Off-Broadway or regional theatre Existing relationships with theatrical producers, general managers, artistic directors, literary departments or agents Previous experience promoting industry readings, workshops or developmental productions Familiarity with the new-musical development process
