Executive Assistant to Founder/CEO

Executive Assistant for Founder of Two Growing Beauty Businesses Hi, I'm Miara! I’m looking for a proactive, highly organized, tech-savvy Executive Assistant to support me across two growing businesses in the beauty industry. I am the CEO behind The Lash Vault, which provides professional lash supplies and education to lash artists, and The Fully Booked Beauty Academy, a rapidly growing online academy for beauty entrepreneurs. As both businesses grow, I need someone who can help take day-to-day operational and administrative responsibilities off my plate, keep projects and systems moving, and help make sure important details do not fall through the cracks. This role is ideal for someone who is comfortable taking ownership. You’ll have clear priorities and direction, but I also value someone who can notice gaps, ask thoughtful questions, troubleshoot problems, and proactively identify what may need attention next. Responsibilities may include: * Managing customer support across both businesses * Supporting students and helping manage the Fully Booked Beauty Academy community * Updating products, promotions, pages, discount codes, and other information in Shopify * Updating funnels, forms, links, workflows, tags, emails, and basic automations inside GoHighLevel * Helping update, test, and troubleshoot automations across our systems * Managing or updating information inside Whop, Airtable, ManyChat, Typeform, and Zapier * Uploading class recordings, resources, announcements, and program materials * Helping make sure customer and student onboarding processes are working properly * Organizing projects, SOPs, documents, systems, and recurring operational tasks * Following up on open items and helping keep projects moving * Assisting with research, hiring coordination, applicant organization, interview scheduling, and onboarding as the team grows * Using AI tools to research solutions, draft communications, document processes, troubleshoot issues, and improve efficiency * Identifying repetitive or inefficient processes and recommending ways to simplify or automate them * Providing general executive and administrative support as needed Our current tech stack includes (but is not limited to) Whop, Shopify, GoHighLevel, Zapier, Airtable, Claude, ChatGPT, ManyChat, Zoom, and Typeform. You do not need to be an expert in every platform, but you should be highly comfortable with technology and confident learning new systems quickly. Experience with GoHighLevel and Shopify is especially valuable. I’m looking for someone who is: * Highly organized and detail-oriented * Resourceful and solution-focused * A strong written communicator * Comfortable working across multiple systems and priorities * Reliable with follow-through * Comfortable communicating with customers and students * Able to recognize when something can be handled independently versus when it needs my input * Comfortable using AI as part of their workflow * Interested in growing with a fast-moving business long-term Previous experience supporting a founder, CEO, entrepreneur, online education company, e-commerce business, coaching company, or similar growing business is strongly preferred.
