We are looking for a highly organized, dependable, and resourceful Virtual Executive Assistant & Operations Coordinator who can help our CEO stay focused, organized, and effective while supporting several important areas of the business. About the Role Your primary responsibility will be helping the CEO manage priorities, communication, scheduling, follow-up, and day-to-day administrative needs. You will also support recurring operational areas including customer service, speaking and podcast opportunities, billing administration, travel coordination, and light content management. This is not simply a task-completion position. We are looking for someone who can anticipate needs, exercise good judgment, take initiative, follow through, and solve problems independently. As you learn the company and demonstrate strong performance, there will be opportunities to take ownership of additional responsibilities. Key Responsibilities Executive Support • Manage and organize the CEO's email inbox and help identify priority messages. • Draft professional email responses and follow up on outstanding conversations. • Manage the CEO's calendar, meetings, appointments, and reminders. • Coordinate domestic and international travel, including flights, hotels, transportation, and itineraries. • Organize meeting notes, documents, action items, and recurring administrative tasks. • Follow up with team members, vendors, and outside contacts on behalf of the CEO. • Help protect the CEO's time by prioritizing requests, meetings, and opportunities. Speaking, Podcast & Business Opportunities • Research conferences, podcasts, organizations, corporations, schools, and events that may be a good fit for the CEO. • Conduct professional outreach for speaking engagements, interviews, partnerships, and media opportunities. • Track opportunities and follow-ups in an organized system. • Coordinate scheduling, travel, agreements, presentation materials, and event requirements. • Maintain current speaker bios, headshots, and related media materials. Customer Service & Billing Support • Respond to customer support emails in a friendly and professional manner. • Help customers access courses, memberships, events, and digital resources. • Update payment information, process approved refunds, and make account adjustments according to company procedures. • Verify that customers have access to the products and memberships they purchased. • Escalate unusual billing or account issues when appropriate. • Handle customer and financial information with discretion and confidentiality. Content & Administrative Support • Format, upload, and schedule blog posts and other provided content. • Proofread content for basic spelling, formatting, links, and readability. • Organize content files, graphics, links, and publishing calendars. • Assist with newsletters, podcast content, promotional campaigns, and other projects as needed. • Help maintain accurate customer and CRM records. • Assist with customer appreciation activities such as birthdays, anniversaries, milestones, cards, and gifts. Required Qualifications • Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, Customer Support Representative, or similar role. • Excellent written and verbal English. • Strong organizational, proofreading, research, and data-entry skills. • Experience using email, calendars, spreadsheets, shared documents, and video conferencing tools. • Reliable high-speed internet and a dependable computer. • A quiet and professional remote working environment. • Ability to work independently and provide consistent updates. • Availability for agreed-upon working hours with meaningful overlap with U.S. Eastern Time. Helpful Experience Experience with any of the following is a plus, but not required: • Gmail and Google Calendar • Google Sheets • Monday.com • Keap/Infusionsoft or another CRM • PayPal • WordPress • Canva • Travel and itinerary management • Podcast or speaking engagement outreach • Digital marketing or content publishing • Financial education or investing • Supporting a founder, CEO, entrepreneur, coach, or content creator Training will be provided for our specific systems and processes. What Success Looks Like You will be successful in this role when: • The CEO's inbox, calendar, and priorities stay organized and under control. • Important requests and follow-ups do not fall through the cracks. • Customers receive timely, thoughtful, and professional support. • Speaking and partnership opportunities are consistently researched and followed up on. • Administrative systems become more organized and efficient over time. • You increasingly anticipate what needs to happen without waiting to be told. • The CEO and team can trust that when something is assigned to you, it will be handled. Compensation Position: Full-Time Preferred | Willing to consider Part-Time for the right candidate Compensation: $7–$10 USD per hour, depending on experience and demonstrated ability. Schedule The ideal candidate will be able to work at least 3-4 business hours per day, (Mon-Fri) overlapping with U.S. Eastern Time Zone. Exact working hours will be agreed upon with the selected candidate. Some flexibility may occasionally be needed for launches, events, travel, or urgent customer matters. There is an opportunity for increased compensation and responsibility based on strong performance and growth in the role. This Role May Not Be a Good Fit If You This role may not be a good fit if you need detailed instructions for every assignment, frequently miss deadlines or follow-ups, are uncomfortable communicating with customers or outside business contacts, or strongly prefer a highly structured corporate environment with little change. It is also not a fit for someone maintaining multiple overlapping full-time jobs that would interfere with consistent availability, responsiveness, or performance. Why Join Us?
