AI-Fluent Marketing Operations Manager | Kajabi Launch

I’m the founder of a creative education and wellness business currently preparing to launch a new online program in mid-October. I already have strategic, course-development and creative support in place. I’m now looking for a highly capable Marketing Operations Manager who can turn that direction into organised, correctly implemented work and materially reduce the amount I have to hold in my head. This is a hands-on execution and ownership role. You will be expected to understand the strategy, translate it into tasks and dependencies, anticipate what is needed next, follow deliverables through to completion and flag gaps before they become emergencies. The ideal person combines: Marketing and launch operations Advanced practical AI fluency Kajabi, email and funnel implementation Project and content operations Excellent communication and follow-through The judgment to work closely with a founder without flattening their voice The operating relationship We will use a 10–80–10 working model: I establish the direction, perspective and important creative decisions You organise and execute the central 80% I return for final creative review and approval Decisions and core authorship remain with me. Organisation, preparation, implementation, tracking, quality assurance and follow-through live with you. You will be implementing an existing strategy while proactively identifying missing information, conflicts and operational risks. You should be comfortable saying: These two instructions conflict This deadline depends on an unmade decision This asset needs approval by Tuesday for Friday’s delivery to remain realistic This task has no clear owner This part of the plan should be scheduled later rather than competing with the current launch Immediate launch priorities Your first priorities will include: Building and testing the program waitlist funnel Translating the existing launch strategy and 90-day plan into one clear operating dashboard Maintaining visible tasks, owners, deadlines, dependencies and current status Mapping the sales page, checkout, payment-plan, email and launch-flow requirements Implementing approved Kajabi landing pages, forms and customer journeys Creating and applying tags, segmentation, email sequences, broadcasts and automations Supporting sales-page and checkout implementation using approved strategy, copy and creative direction Testing every form, link, automation, email, checkout path and customer experience Auditing the existing lead-magnet funnel and implementing required corrections Coordinating deadlines and asset handoffs with course-development, design, video-editing and other external partners Preparing concise updates showing completed, in progress, blocked, decisions needed and next actions Following up on missing deliverables without waiting for me to remember them Maintaining orderly source files, approved assets, current versions, SOPs and project documentation Content creation and operations A major part of this role is helping me create and consistently deliver content without requiring me to operate the entire production machine. Our current content model begins with one founder-led anchor idea, usually developed through a voice dump, interview or long-form draft. That anchor can then become an email and several distinctly formatted short-form pieces. You will help build and manage a content operations pipeline that tracks each asset through: Idea or content requirement Upcoming creation date Research and source preparation Founder voice dump or input Outline or first draft Founder review Revision Design or editing handoff Final approval Scheduling Publication Repurposing Performance review Archiving and future reuse Your content responsibilities may include: Maintaining an organised content-drop and idea database Anticipating what content is required and preparing for it before the creation deadline Turning the marketing calendar into a realistic weekly production plan Preparing research, audience language, content briefs, questions, references, links and calls to action Interviewing me or using my voice dumps to extract what I actually think Turning approved ideas into long-form outlines, emails, reel scripts, carousel structures and other first drafts Repurposing one anchor piece into several genuinely different formats Preparing assets for designers and editors Scheduling and publishing approved content Checking that links, captions, tags, formatting and calls to action are correct Tracking which hooks, bodies, topics, formats and calls to action perform best Carrying useful insights into the next content cycle AI should help extract, organise and refine my thinking. It should not invent my beliefs, replace my perspective or turn the content into generic wellness language. Advanced AI fluency Advanced practical experience with ChatGPT and/or Claude is essential. I need someone who already knows how to work with AI as part of a reliable operating system, including: Creating and maintaining structured AI Projects Organising source files, business context and operating instructions Distinguishing approved decisions from recommendations, experiments and future ideas Building reusable prompts, SOPs and recurring workflows Using AI for research, planning, drafting, inbox support and operational execution Extracting accurate instructions from long documents and transcripts Identifying contradictions, missing dependencies and outdated information Interviewing a founder rather than inventing their message Checking all AI-assisted outputs against approved sources Maintaining context as the business and launch plan evolve Experience using AI solely for generic captions, basic copy generation or lists of content ideas will not be sufficient for this role. Kajabi and marketing implementation You should be confident implementing and quality-checking: Landing pages and forms Waitlist and lead-magnet funnels Email broadcasts and automated sequences Tags, segmentation and list management Checkout, offers and payment plans Customer confirmation and onboarding journeys Funnel, automation and link testing Basic conversion and campaign reporting UTM creation and tracking Working knowledge of UTMs is important. I need to know which channels, content assets and campaigns are generating subscribers, applications and sales. Experience with ManyChat or similar tools is useful but not essential. Project management and organisation I want one central system that shows me what is happening without requiring me to search through emails, transcripts, documents and multiple platforms. You should be able to: Build and maintain a simple visual project-management system Use clear statuses such as upcoming, ready to begin, in progress, awaiting founder, awaiting vendor, blocked, scheduled and complete Make priorities and dependencies visible Separate active launch work from later ideas Maintain a decision log and prevent outdated instructions from returning Identify what can be delegated, scheduled or parked Prepare the materials required for upcoming work blocks Follow through until work is genuinely complete Provide concise founder-level reporting without flooding me with operational detail You may use Notion, ClickUp, Trello, Asana, Monday or another appropriate system that you already know deeply. The system should be easy for me to understand and should reduce complexity rather than create another project for me to manage. Communication and administration As the relationship develops, responsibilities may also include: Inbox and client-administration triage Drafting routine replies using approved context Flagging sensitive, substantive or sales-related communications for my review Calendar and deadline coordination Meeting preparation and follow-up Vendor research and coordination Brand-partnership and affiliate administration Organising receipts, files and routine business records Documenting repeatable processes as the business grows I need reliable follow-through. If a meeting, asset, approval or response is expected, you should track it, chase it appropriately and close the loop. Founder and team boundaries I remain responsible for: Core ideas and intellectual direction Founder voice and final content approval Major strategic and commercial decisions Course teaching and anything requiring my face or voice Sensitive client and relationship decisions My existing external partners remain responsible for their contracted strategy, course-development, design and production deliverables. You will coordinate, organise and implement around those responsibilities. You will not be expected to independently rewrite the course architecture or replace the existing strategic support. For the right person, this has genuine potential to become a long-term relationship supporting the founder and wider business across content, marketing operations, launches, Kajabi, email, partnerships, administration, systems and future projects. I’m looking for someone who wants to understand the business deeply, become a trusted operational partner and help build systems that create more room for the founder’s highest-value creative work.
