Summary

We are an established home-service business looking for an experienced GoHighLevel automation specialist to build and fully implement a scalable Meta/Facebook lead-response, qualification, follow-up, routing, and reporting system. This is a complete implementation project, not a consulting-only engagement and not a partial build. The contractor selected for this project must be capable of taking responsibility for the system from initial architecture through configuration, integration, testing, launch, staff training, and post-launch corrections. CURRENT SOFTWARE / REQUIRED ARCHITECTURE We currently use: Meta/Facebook Lead Ads for lead generation ServiceMonster as our primary CRM, customer database, and operational system ResponsiBid as our estimating/quoting platform GoHighLevel will be used as the front-end lead-response, automation, qualification, nurturing, and marketing-attribution system We already have an existing ServiceMonster → ResponsiBid workflow/integration that is working. IMPORTANT: The existing ServiceMonster → ResponsiBid process must be preserved and not disrupted or replaced unless we specifically approve a change. The preferred architecture is: Meta/Facebook Lead → GoHighLevel → qualification/follow-up → qualified lead transferred to ServiceMonster → existing ServiceMonster/ResponsiBid process continues HighLevel should handle the large volume of raw Facebook leads so that nonresponsive or poor-quality leads do not unnecessarily clutter our primary ServiceMonster customer database. Once a lead becomes a legitimate opportunity, it should be transferred into ServiceMonster with the appropriate customer information, source information, and qualification notes. PROJECT OBJECTIVE Our goal is to dramatically reduce the amount of repetitive lead-management work required by our office staff while still keeping human control over pricing, complicated jobs, and important customer decisions. We have historically generated approximately 250+ Meta/Facebook leads per month. Advertising volume changes based on performance and seasonality. The system should be capable of comfortably handling 500+ leads per month without requiring a redesign. We anticipate approximately 10 different Meta/Facebook Instant Forms or lead scenarios. Different forms may: Ask different questions Already contain different customer information Require different first responses Require different qualification paths Lead to different next actions The system should be designed as a reusable framework so additional forms and qualification paths can be added later without rebuilding the core system. SIMPLIFIED AI APPROACH — IMPORTANT We are NOT looking for an AI chatbot that freely invents sales language or decides our sales process on its own. Our preferred system is: Prewritten/approved responses + workflow logic + AI classification of customer replies We will determine the approved customer-facing language. For example: Customer says they have never had sealer applied → system selects approved Response A Customer says the old coating is white, peeling, or failing → system selects approved Response B and routes to human review Customer says they are unsure → system selects approved Response C requesting the appropriate clarification/photos AI may be used to interpret normal/free-form customer wording and determine which predefined category or branch the response belongs to. AI should NOT independently invent: Pricing Technical recommendations outside approved rules Warranty statements Guarantees Discounts Services Promises Sales claims We want the reliability of predefined business logic with AI used primarily as an intelligent classifier/router. SPEED-TO-LEAD Every new Meta/Facebook lead should be processed automatically and consistently. The system should: Receive the lead immediately Identify the specific form/source Read and retain information already submitted Determine which approved first message applies Send the first message automatically Wait for the customer's response Interpret the response Select the appropriate predefined next action The system should never require office staff to manually notice every Facebook notification before the lead receives an initial response. ONE QUESTION AT A TIME A major part of our current strategy is reducing customer friction. We do NOT want the first response to ask the customer three, five, or ten questions or immediately demand multiple photos. Our preferred process is: Ask ONE easy question → wait for response → determine next step The first goal is simply to get the lead engaged. Once the customer responds, the next question or action should depend on: What the Meta form already told us Their response What information is still missing Which qualification path applies DO NOT RE-ASK INFORMATION ALREADY PROVIDED Different Meta forms collect different information. The automation must use information that already exists. If Meta already supplied: Name Phone Email Address ZIP code Service requested Area type Material Approximate square footage Other project information the system should not unnecessarily ask the customer for the same information again. This is a critical requirement. FORM-SPECIFIC LOGIC The initial build should support up to approximately 10 different Meta/Facebook forms or lead scenarios. Examples: Scenario A Facebook already provides: Driveway Concrete pavers Square footage Only one important qualification question may remain, such as whether the existing surface has previously been sealed/coated or has a failed coating. Scenario B Facebook provides the location/service but not the material. The approved first question may ask whether the surface is: Regular concrete/brick pavers Travertine/natural stone Unknown Scenario C The customer has natural stone or a complicated coating condition. The system may route the lead toward human review rather than automated quoting. Scenario D The lead is missing critical information. The automation asks only the next missing question rather than restarting the intake process. We will provide the specific questions and branching rules. NONRESPONSE FOLLOW-UP A major objective is eliminating manual chasing of leads who never answer. The system should automatically follow up with nonresponders using an approved sequence. Requirements: Appropriate follow-up timing Automatically stop/change the sequence once the customer responds Do not continue sending generic follow-ups after a human has taken over Track the lead as a measurable No Response outcome if they never engage Office staff should not have to manually remember which Facebook leads need their second, third, or fourth follow-up. MESSAGING HOURS / COMPLIANCE Automated outbound SMS should respect appropriate U.S. messaging rules, A2P requirements, and contact-local quiet hours. The contractor should configure the system so that: Leads enter HighLevel immediately regardless of time received Messages are sent within approved messaging windows Leads received outside the permitted window are queued appropriately Contact timezone is used where practical Active customer conversations and initial outbound lead follow-up are handled appropriately Contractor should understand A2P 10DLC and HighLevel messaging configuration. LEAD ROUTING We generally expect leads to end up in one of several categories. Examples include: SIMPLE / QUOTE-READY Enough information exists to move toward a remote/ResponsiBid estimate. NEEDS MORE INFORMATION One or more specific questions or photos are still required. HUMAN REVIEW Examples may include: Failed/unknown coating Possible stripping Complicated natural stone Unusual repairs Customer question outside approved automation Other situation requiring judgment IN-HOME ESTIMATE Project is a legitimate opportunity but requires an onsite inspection. NO RESPONSE Customer never engages after the defined follow-up sequence. NOT QUALIFIED / LOST Bad lead, wrong service, duplicate/spam, outside service area, etc. The exact decision rules will be provided during implementation. SERVICE MONSTER INTEGRATION — CRITICAL ServiceMonster is our primary CRM and permanent customer database. HighLevel should NOT replace ServiceMonster as our operational CRM. The contractor must determine and implement the cleanest reliable method for transferring qualified leads from HighLevel into ServiceMonster. Where technically possible, transferred information should include: Customer name Phone Email Address City/state/ZIP Meta lead source Specific campaign/form/ad information where available Service requested Qualification answers Square footage/measurements where available Important notes Relevant status/category We do NOT want office staff manually retyping customer information from HighLevel into ServiceMonster if a reliable supported integration can accomplish this. The contractor must verify the best supported integration method and clearly explain any technical limitations before implementation. RESPONSIBID — PRESERVE EXISTING PROCESS ResponsiBid is already connected to our ServiceMonster workflow. We have spent significant time getting this process functioning correctly. Do not redesign, bypass, replace, or interfere with the existing ServiceMonster → ResponsiBid workflow unless specifically approved. The goal is: HighLevel gets the lead qualified and into ServiceMonster → our existing ServiceMonster/ResponsiBid process handles the quoting workflow If improvements can be made without risking the existing integration, they may be recommended, but changes must be discussed first. PIPELINE / OPPORTUNITY MANAGEMENT HighLevel should contain an easy-to-understand lead pipeline so office staff can see exactly where each Facebook lead stands. Possible stages may include: New Lead Initial Message Sent Waiting for Reply Responded Qualifying Waiting for Information / Photos Quote Ready Needs Human Review Transferred to ServiceMonster Estimate Needed Quote / Estimate Sent No Response Won Lost The exact stages can be refined. The primary objective is that office staff should be able to immediately see: Which leads actually require human action right now? Most routine automation should happen without staff manually moving every lead. HUMAN HANDOFF There must be a reliable method for transferring a conversation to a human. When human review is required, the system should: Move the opportunity to the correct stage Notify the correct staff member Make the full conversation history visible Preserve all Facebook/form information and qualification answers Stop inappropriate automation from continuing When our office manager opens the lead, they should be able to see the complete conversation that occurred before the handoff. They should not have to restart the conversation or ask questions that the customer already answered. NOTIFICATIONS We want useful notifications, not notification overload. Office staff should generally be alerted when: Human review is required A lead is quote-ready and requires manual action An onsite estimate needs to be scheduled An unusual/error condition occurs Routine AI/workflow actions should not require staff notifications. REPORTING & ATTRIBUTION — REQUIRED Reporting is a major required component of this project. We need to know which Meta/Facebook lead sources produce actual business, not just cheap form submissions. The contractor must configure reliable source attribution and create management dashboards/reports. Where data is available, reporting should identify performance by: Facebook/Meta campaign Ad set Ad Instant Form / lead scenario Other meaningful source identifiers At minimum, we want to track: Total leads Leads that responded Response rate No-response leads No-response percentage Qualified leads Leads sent to human review Leads transferred into ServiceMonster Estimates / quotes Won jobs Lost jobs Win rate Lost reason Revenue Lead-to-customer conversion rate Where reliable cost data is available, we would also like: Ad spend Cost per lead Cost per responding lead Cost per qualified lead Cost per won customer Revenue by lead source Return on ad spend / ROI We need to be able to answer questions such as: Which Meta ad/form generates the most leads? Which source produces leads that actually respond? Which source produces qualified opportunities? Which source creates the most paying customers? Which ads are generating mostly no-response or poor-quality leads? What does it actually cost us to acquire a paying customer? LOST REASONS Do not simply place every unsuccessful lead into one generic “Lost” category. Configure meaningful lost reasons such as: No response Not qualified Outside service area Service not offered Price / declined estimate Chose competitor Project postponed Duplicate Spam / invalid Unable to contact Other These outcomes should be reportable. META CONVERSION FEEDBACK Where technically appropriate, we would like qualified downstream outcomes sent back to Meta so advertising can eventually optimize around higher-quality leads instead of simply form submissions. Possible events may include: Qualified lead Estimate scheduled Quote generated Customer / Won Contractor should recommend and implement the cleanest reliable method supported by HighLevel/Meta. SNAPSHOT / EXISTING TEMPLATE PREFERRED We strongly prefer someone who already has a proven HighLevel Snapshot, workflow framework, or lead-management template that can serve as the base for this system. We do NOT want to pay someone to rebuild standard lead-nurturing infrastructure from scratch if they already have a reliable system. If you have an existing framework, explain: What is already built What would need customization Whether the Snapshot/template is included in your project price Whether it has any ongoing license/subscription Whether we retain full access/use after completion The unique part of this project is primarily our specific forms, approved messaging, qualification logic, ServiceMonster handoff, reporting, and testing. THIRD-PARTY AUTOMATION TOOLS Our preference is to use native HighLevel functionality whenever practical. Do NOT unnecessarily create a complicated system involving: HighLevel → Zapier → Make → n8n → other systems if native functionality can accomplish the same result reliably. If Zapier, Make, n8n, custom API work, or another outside platform is genuinely required for the ServiceMonster integration or another function, explain: Why it is necessary What it does Monthly/ongoing cost Who owns the account What happens if we stop using the contractor No hidden dependencies. TESTING — REQUIRED This project is NOT complete simply because workflows have been created. The complete system must be tested end-to-end. Testing should include: Multiple Facebook forms Different information already present on each form Correct form-specific first response One-question-at-a-time behavior Correct wait-for-reply behavior Normal customer replies Unusual/free-form customer replies Correct AI classification Correct predefined response selection Nonresponse follow-ups Follow-up stopping conditions Human takeover ServiceMonster transfer Duplicate prevention Pipeline movement Notifications Source attribution Reporting Messaging time restrictions Error conditions Test contacts should be run through representative scenarios before the system is considered complete. POST-LAUNCH CORRECTION PERIOD Real customers will inevitably respond in ways that were not anticipated during test scenarios. We want approximately 2–4 weeks of reasonable post-launch correction/tuning included in the fixed price. This covers correcting the agreed implementation, such as: Incorrect branching Misclassified customer responses Incorrect messages Follow-ups not stopping Pipeline errors Notification errors Duplicate records ServiceMonster transfer problems Attribution/reporting problems Other bugs This does NOT mean unlimited new features. STAFF TRAINING / DOCUMENTATION Provide training for the staff member(s) who will manage the system. Training should include: Conversations inbox Seeing full customer conversation history Identifying leads requiring human action Taking over an automated conversation Pipeline management Stopping/restarting automation Understanding lead status Viewing reports Basic troubleshooting Making simple approved message changes Adding/editing a lead form or branch where practical A recorded Zoom or Loom walkthrough of the completed system is strongly preferred. OWNERSHIP The finished system must remain under our control. Workflows, fields, pipelines, messages, AI configurations, dashboards, integrations, and other project assets should be accessible in accounts we control. We do NOT want to discover after completion that the system depends upon: Contractor-owned HighLevel accounts Contractor-owned API accounts Hidden automation accounts Proprietary software we cannot access Undisclosed monthly subscriptions Any ongoing third-party cost must be disclosed before implementation. WHAT WE WILL PROVIDE We will provide: Existing Meta/Facebook Instant Forms Questions currently being asked Approved first responses Approved follow-up responses Qualification decision rules Examples of real customer responses Service/estimating rules Human-handoff rules Information about our existing ServiceMonster and ResponsiBid configuration Access necessary to complete approved integrations We are not hiring you to invent our sales process. We need an expert to translate our established logic into a reliable automated system. THIS PROJECT IS NOT This is NOT primarily: Website design Funnel design Facebook ad management Social media management Email marketing Generic chatbot development Replacement of ServiceMonster Replacement of ResponsiBid This project is specifically: Meta Lead → HighLevel → Immediate Approved Response → One-Question-at-a-Time Qualification → AI Classification → Predefined Response/Branch → Automated Follow-Up → Human Handoff or Qualified Transfer → ServiceMonster → Existing ResponsiBid Workflow → Reporting & Attribution REQUIRED EXPERIENCE Ideal candidate should have strong hands-on experience with: GoHighLevel HighLevel workflows Conversation AI / AI classification Meta/Facebook Instant Forms Conditional branching Wait-for-reply automation SMS automation A2P 10DLC Lead nurturing Opportunity pipelines Human handoff Attribution/reporting Meta CAPI/conversion feedback APIs/webhooks/integrations ServiceMonster integration experience is highly preferred. ResponsiBid familiarity is also a strong plus. Home-service industry experience is preferred. WHEN APPLYING — PLEASE ANSWER ALL QUESTIONS Please do NOT send only a generic proposal. 1. Have you personally built a HighLevel system that takes Meta/Facebook Instant Form leads and automatically responds, qualifies, branches, follows up, and routes them? Briefly describe it. 2. Do you already have a proven Snapshot/template/framework that can be customized for this project? If yes, explain what it includes. 3. How would you handle approximately 10 different Meta lead forms/scenarios that may require different first messages and qualification paths? 4. How would you ensure that the customer is NOT asked questions they already answered on the Meta form? 5. Our desired AI approach is primarily classification and selection of approved/prewritten responses, not freely generated sales conversations. How would you implement that in HighLevel? 6. How would you handle normal free-form responses such as: “I think it was sealed years ago but I’m not sure.” without allowing AI to invent unapproved answers? 7. How would you handle human takeover so automated follow-up and AI responses stop interfering once staff gets involved? 8. How would you integrate a qualified HighLevel lead into ServiceMonster while preserving our existing ServiceMonster → ResponsiBid workflow? Please describe the likely technical approach. 9. Have you personally integrated HighLevel with ServiceMonster before? If yes, explain briefly. 10. How would you prevent duplicate contacts/opportunities when information exists in Meta, HighLevel, and ServiceMonster? 11. How would you track source attribution and create reporting showing: Leads Response rate No-response rate Qualified leads Quotes Won/lost Lost reasons Revenue Campaign/form/ad performance? 12. Can the majority of the project be built natively in HighLevel? If you recommend Zapier, Make, n8n, custom middleware, or another platform, explain exactly why it is necessary and what it will cost. 13. Please provide a Loom/video or other example showing a comparable HighLevel automation system that YOU personally built. 14. Please confirm that you can take responsibility for the COMPLETE WORKING IMPLEMENTATION and will not leave us with disconnected pieces requiring another contractor to make the system operational. PROJECT STRUCTURE We prefer a fixed-price project with milestones. Suggested milestones: Milestone 1 — Architecture & Integration Plan Review Meta forms, existing business logic, HighLevel requirements, ServiceMonster setup, and existing ResponsiBid workflow. Confirm technical architecture before making changes. Milestone 2 — Core Lead Automation Build form-specific intake, approved first responses, wait-for-reply logic, AI classification, branching, follow-up, pipeline stages, and human handoff. Milestone 3 — ServiceMonster Integration & Reporting Implement qualified-lead transfer into ServiceMonster, preserve the existing ResponsiBid workflow, configure attribution, lost reasons, dashboards, and reporting. Milestone 4 — Testing & Launch Run end-to-end test scenarios, fix issues, and launch with live Meta leads. Milestone 5 — Training & Post-Launch Corrections Staff training, recorded walkthrough/documentation, and agreed 2–4 week correction/tuning period. We are looking for a simple, reliable, maintainable, scalable system. We do not want AI complexity merely for the sake of AI. We want the repetitive work automated, every lead answered consistently, nonresponders followed up automatically, good leads routed correctly, humans brought in when judgment is required, our existing CRM/estimating workflow preserved, and clear reporting showing which Meta leads actually generate revenue.
