Google Sheets Business Dashboard & Data Automation Specialist — GoHighLevel

We run local home-service businesses in Canada and are looking for an experienced Google Sheets / business data specialist to build, automate, and continuously improve our business reporting system. We already have a Google Sheet started and have identified most of the KPIs we want to track. We do not want to rebuild everything from scratch. We want you to review what we have, improve it, automate the data flow, and turn it into a reliable management system. The Goal We want one connected system covering: Marketing → Sales → Fulfillment → Accounting → QA/QC → Executive Dashboard Management should be able to quickly understand: Where leads came from → What we spent → CPL → Booked Jobs → CAC → Revenue → Job Costs → Gross Profit → Expenses → Net Profit/Margin Automate First — Manual Entry Only When Necessary GoHighLevel will be our primary operational data source. We want to maximize the use of: GHL Custom Fields → Tags → Opportunities → Contacts → Workflows → Job/Customer Data Other data sources will include: Google Ads → Bank/Accounting Data → Google Sheets We're open to adding GA4 or other sources only if they provide useful information. We don't want unnecessary data just because it's available. Our philosophy is simple: ENTER ONCE → AUTOMATE → VALIDATE → REPORT We want as close to zero duplicate/manual data entry as reasonably possible. What the System Should Cover Marketing Ad Spend → Leads → CPL → CAC → ROAS → Channel Performance Sales Leads → Quotes → Booked Jobs → Conversion Rate → Revenue → Rep Performance Fulfillment Completed Jobs → Job Type → Technician → Labour → Materials → Direct Costs → Job Profitability Accounting Revenue → Job Costs → Gross Profit → Overhead Expenses → Net Profit → Net Margin → Monthly P&L The financial side is especially important. Our long-term goal is for the numbers to stay fresh, accurate, and reconcilable with our actual accounting/bank records. QA/QC Track the small number of quality metrics that actually help management understand job quality, issues, callbacks, or customer satisfaction. Executive Dashboard A clean, mostly READ-ONLY management dashboard showing the most important KPIs, trends, marketing performance, sales performance, and financial health. The system should comfortably support 24+ months of data. Build It Properly We don't want a complicated spreadsheet that only the person who built it can understand. The system should have: Clean data structure → Reliable formulas → Standardized IDs → Validation/Error Checks → Clear KPI Definitions → Documentation → Easy Handoff We want a long-term relationship, but the system cannot depend on one person. A future Data Analyst, Accountant, CFO, or another specialist should be able to understand the architecture and continue working with it. Reusable Across Multiple Businesses We're building this for one business first, but we operate multiple businesses. The structure should be designed so the system can later be duplicated and adapted for another business without rebuilding everything from zero. What We Need From You We're looking for someone who understands business data systems, not just someone who knows how to make attractive Google Sheets charts. You should be comfortable with Google Sheets, GoHighLevel data, APIs/integrations/automation, Google Ads data, financial reporting, dashboards, and data validation. This will be an ongoing role. There will be more work during the initial build, followed by ongoing optimization, maintenance, and improvements. We're looking for someone budget-friendly, reliable, organized, and interested in working with us long-term.
