Google Workspace Email Migration from SiteGround + Cloudflare & GoDaddy DNS Cutover

JOB DESCRIPTION Overview: We are looking for an experienced System Administrator / Google Workspace Specialist to migrate our primary domain (heidimerrick.com) and email infrastructure from SiteGround to Google Workspace. Our website storefront is hosted on Shopify, and primary DNS is managed through Cloudflare. We also own a secondary domain, hmerrickofcalifornia.com (registered via GoDaddy), which redirects web traffic to our main site. A complete CSV account mapping file (detailing paid seats vs. free groups) will be provided upon hire. Key Responsibilities & Scope of Work:     1    Google Workspace Provisioning:     •    Set up the Google Workspace tenant for heidimerrick.com.     •    Create ~13 paid user seats (info@ primary hub, individual team accounts, and store POS account).     •    Set up 7 free Google Groups / Collaborative Inboxes (ap@, customers@, sales@, careers@, press@, store@, studio@).     2    IMAP Data Migration:     •    Perform background IMAP data migration via Google Admin Console to transfer historical emails and folders from SiteGround to new Gmail inboxes without data loss.     3    DNS Cutover & Email Authentication (Cloudflare & GoDaddy):     •    Update MX records in Cloudflare to route mail to Google Workspace.     •    SPF Optimization (Critical): Audit and optimize our SPF record in Cloudflare. We currently face the "too many DNS lookups" (10-lookup limit) error due to multiple active integrations (Shopify, Klaviyo, SiteGround, etc.). Clean up obsolete SiteGround includes or flatten the record so it stays strictly within DNS lookup limits.     •    Generate and activate 2048-bit DKIM keys and set up DMARC.     •    Mandatory Deliverability Requirement: A Mail-Tester score of 9/10 or higher, AND a green PASS status on SPF, DKIM, and DMARC via MXToolbox's Domain Health check, is required before the project is considered complete.     •    Verify web 301 redirect rules and DNS configuration for secondary domain (hmerrickofcalifornia.com) on GoDaddy/Cloudflare.     4    Cutover Safety & Rollback:     •    Lower MX record TTL 24-48 hours before cutover to allow fast propagation in either direction.     •    Freelancer to configure SiteGround mailboxes to remain active/forwarding for 7 days post-cutover as a fallback. Client (Eddie/Asang) will ensure the SiteGround hosting/email plan itself is not canceled or downgraded during this window.     •    Test the full migration and authentication flow on a single seat before migrating the remaining accounts.     5    Testing & Handoff:     •    Run inbound/outbound delivery verification tests across user seats and Google Groups.     •    Provide initial team login instructions and access handoff. Access & Availability:     •    Primary points of contact: Eddie and/or Asang.     •    Availability for coordination: Pacific Standard Time, 8am-5pm.     •    DNS/admin access will be granted at kickoff; scope of access to be confirmed with selected freelancer. Preferred Qualifications:     •    Proven track record with G Suite / Google Workspace migrations from cPanel / SiteGround.     •    Deep knowledge of DNS management, Cloudflare, GoDaddy, SPF lookup flattening, DKIM, and DMARC.     •    High attention to detail with zero email loss during migration.
