Summary

Role Overview This role provides critical administrative and operational support to the business development function. You will own the creation and customization of outreach materials, bring structure to disorganized systems, and enable the team to operate efficiently by managing content, documentation, and pipeline tracking. Key Responsibilities 1. Business Development & Outreach Support Support business development and prospect outreach with timely, polished materials. Create concise, high-impact prospect decks and pre-reads (typically 5–6 slides) using existing content and materials. Tailor decks, one-pagers, and other outreach assets for specific prospects, including relevant messaging, branding, and next steps. Synthesize content across existing decks, RFPs, one-pagers, and prior materials into clear, compelling outreach assets. 2. CRM & Pipeline Management Support the implementation and ongoing management of the CRM, helping establish processes and structure that keep the pipeline organized and actionable. Maintain accurate prospect and opportunity information, including pipeline status, deal stages, outreach activity, next steps, and ownership. Track pipeline activity and proactively flag follow-ups, stale opportunities, and upcoming priorities. Develop and maintain basic reporting and analytics to provide visibility into pipeline progression and outreach effectiveness. Help ensure the CRM becomes a reliable source of truth for business development activity. 3. Conferences & Events Own and manage the company’s conference calendar, including identifying relevant industry events and tracking key deadlines. Coordinate conference registration, sponsorships, speaking opportunities, and participation logistics. Manage conference-related materials and deliverables, including booth assets, collateral, presentations, and attendee communications. Partner with business development and leadership to establish goals and priorities for each conference and ensure the team is prepared. Coordinate pre- and post-conference activities, including prospect outreach, meeting preparation, follow-up, and tracking outcomes. 4. External Communications & Press Own the development and coordination of company press releases, including drafting content, incorporating stakeholder feedback, and managing releases through publication. Partner with leadership to identify company announcements, partnerships, and milestones that warrant external communication. Maintain a calendar of planned announcements and ensure messaging is accurate, consistent, and aligned with company positioning. Coordinate with external partners, publications, or distribution channels as needed. 5. Content & Asset Management Own the organization and maintenance of business development and external-facing materials in Google Drive, including folder structure, naming conventions, and version control. Consolidate duplicate or outdated materials and ensure teams can easily identify the most current version. Build and maintain a centralized library of decks, one-pagers, templates, press materials, conference assets, and other external-facing content. What Success Looks Like The business development team has the materials, systems, and operational support needed to move opportunities forward quickly. CRM and pipeline information is accurate, current, and provides clear visibility into opportunities, activity, ownership, and next steps. Conference participation is managed end-to-end, with strong preparation, clear goals, and consistent follow-through. Press releases and external announcements are proactively developed and executed with minimal lift from company leadership. External-facing materials are polished, consistent, easy to find, and kept up to date. The team spends less time on administrative coordination and more time building relationships and advancing opportunities.
