About Arcana Collaborative Arcana Collaborative is a coaching and wellness business designed to help women build lives and businesses that actually feel as good as they look. Through coaching, workshops, digital resources, and in-person experiences, I create thoughtful spaces for reflection, growth, and meaningful change. I believe that every client experience matters. So, I’m looking for someone who can help thoughtfully implement the work that’s being created within my business. About the Role This is not a traditional virtual assistant position. You won’t be writing copy, creating content, or developing strategy. Instead, I’ll provide the copy, creative direction, imagery, and project guidelines. Your role is to bring those pieces to life across the platforms I use while maintaining a polished, consistent client experience. You’ll work closely with me and another member of my team as we continue growing the business. Responsibilities Projects may include: Designing and formatting branded workbooks, guides, journals, and PDFs in Canva Building and updating Squarespace pages Implementing Flodesk emails and automations Updating Slack resources Creating branded event flyers using provided creative direction Supporting launches and workshops across multiple platforms Testing links, forms, downloads, and customer journeys before projects go live Following project briefs and implementation checklists Other implementation tasks as needed You’re Probably a Great Fit If You… Love creating polished, organized work. Have exceptional attention to detail. Enjoy following a creative vision rather than creating it from scratch. Communicate well and ask questions when something isn’t clear. Can work independently and meet deadlines. Take pride in producing high-quality work. Experience with Canva, Squarespace, Flodesk, Slack, and Google Workspace is preferred, but we’re happy to train the right person who’s eager to learn. Communication & Working Style I work in the Central Time Zone (U.S.), but I’m not looking for someone who works my exact hours. In fact, I see it as a benefit if work can continue while I’m offline. What’s most important to me is clear communication, reliability, and meeting agreed-upon deadlines. Myself and current team member will provide project priorities, timelines, and due dates. It’s imperative that this role is filled by someone who communicates proactively if questions arise or additional clarification is needed. We’ll have bi-weekly check-ins (typically via Google Meet) to review priorities, answer questions, and stay aligned. Strong written and spoken English is required so we can collaborate effectively and provide a consistent, high-quality experience for my clients. A Few Things to Know This is an independent contractor position starting at approximately 15–20 hours per month. We’ll begin with a 60-day paid trial period to make sure it’s a great fit for both of us. As the business grows, there may be opportunities for additional hours, expanded responsibilities, and increased compensation. I’m looking for someone who wants to build a long-term working relationship. Not someone who’s simply looking for a one-time project necessarily.
