Integrator / Head of Operations for AI-First Company (Right Hand to Founder)

Summary

Read this whole post before applying. I will know if you didn't. I am a founder running several companies in the AI, marketing, and SaaS space. I move fast. I generate ideas, build offers, sell, teach, and create systems. What I do not have is one person who takes what comes out of my head and turns it into finished work without me managing every step. I've launched a new brand that umbrellas the others and need someone who want to grow with me. That is this role. What makes this different from every other ops job on Upwork: We are an AI-first company. Not "we use ChatGPT sometimes." We have trained AI brains doing real work every day, and we are building more. You will direct them, judge their output, sharpen it, and ship it. As we grow, our answer to more volume is more capability, not automatically more people. You do not need to be an engineer. We have a technical team that builds the automations and integrations. Your job is to know what outcome we need, define it clearly, work with the builders, test what comes back, and make sure it actually works. We are also early. Some things are polished and some things are half-built. If that energizes you, keep reading. If you need everything documented before you can move, this is not your role. What you will own: Client relationships. Every account gets a scheduled check-in. You watch usage, spot the client who's gone quiet, and reach out before they cancel, not after. You get on Zoom with clients and you like it. When a client reports a problem, you own it to resolution, routing technical fixes to our builders and closing the loop with the client yourself. Marketing execution, done with AI Campaign emails (nurture, launch, promo, follow-up), lead generation management, the marketing calendar across companies, and reviewing social content before it publishes. You will produce most of this through our trained brains. Your value is direction, judgment, and knowing the difference between AI output that is fine and AI output that is genuinely good. Campaign and launch execution When I say "we are launching this on this date, here are my notes," you own getting it done. Registration pages, email and SMS sequences, CRM workflows, tracking, lead routing, follow-up. You map it, assign it across our AI and human team, and make sure it is tested before it opens. Immediate roadmap: a webinar, then a bootcamp, then a cohort program. Sales conversion and lead response Answer DMs and inbound messages fast and in our voice. Work leads to a booked call or a closed sale. Follow up without being reminded. Log everything in the CRM. My inbox and my calendar You own them. Triage daily, answer what you can, draft replies in my voice, protect my focus time, and surface only what genuinely needs me. Accountability and quality Hold our teams to what was promised. Verify before anything ships: links work, automations fire, emails are scheduled correctly, copy is right. "Someone said it was done" is not done, and neither is "the AI generated it." Helping build our AI workforce Shape what each AI employee owns, help write the knowledge it runs on, review its work like you would review a team member's, and help maintain our internal knowledge base so every brain runs on good information. Who you are: You genuinely love AI and automation. You build things with it on your own time because you find it interesting. You love marketing. Campaign work is not beneath you, it is the fun part. You have high agency. You do not ask "what should I do next," you say "here is what I think we should do, I already handled A and B, I need your call on C." You are an excellent written communicator in English. You will be writing in my voice. You are organized, calm, direct, and obsessed with follow-through. You are comfortable holding other people accountable, including people more senior than you. You can take a voice note, a messy doc, or a half-formed idea and turn it into an executable plan. Who you are not: Not a traditional VA or executive assistant. My inbox is an input to this job, not the job. Not someone who wants to hand-write every deliverable. Not someone who thinks AI output can ship unedited. Generic, obviously machine-written work does more damage than no work at all. Not someone who reports problems without proposing solutions. Not someone who marks a task complete without verifying it. Not someone who freezes when a stranger sends a DM asking about price. Not someone who avoids getting on camera with a client. Tools we use: Claude (Teams/Enterprise, Projects, Skills), HighLevel, Google Workspace, Basecamp, Otter.ai, Google Drive, HeyReach, LinkedIn. Details: Fully remote, long-term. This is a seat, not a project. PART-TIME TO START, SCALING TO FULL-TIME Meaningful daily overlap with US hours required. Paid trial period to start, then ongoing.
