Interactive Proposal & Business Development Dashboard with Geographic Mapping Project Overview We are an international engineering consultancy working on projects and proposals across multiple countries and regions. We are looking for an experienced Business Intelligence / Dashboard / Database specialist to develop an interactive Proposal & Business Development Management System. The objective is to create a centralized database where we can record all submitted and ongoing proposals and visualize our business development activities through an intuitive, professional dashboard. A major requirement is geographical visualization. We want to see our proposals and opportunities on an interactive world map, with the ability to drill down by continent, region, and country. The solution could potentially be developed using Microsoft Power BI, Microsoft Power Apps/SharePoint, Tableau, Airtable, or another suitable platform. We are open to recommendations from experienced developers regarding the most practical architecture. 1. Proposal Database The system should maintain a structured database containing, at minimum: * Proposal / Opportunity ID * Proposal name * Client * Country * City / Project location * Region * Continent * Business sector / project type * Scope of services * Proposal submission date * Proposal value / fee * Currency * Proposal status * Probability of success * Expected award date * Responsible person / proposal manager * Partner / JV / subcontractor, if applicable * Competitors, if known * Comments / notes * Links to proposal folders or documents Proposal statuses should be configurable, for example: * Lead / Opportunity * In Preparation * Submitted * Under Evaluation * Negotiation * Awarded / Won * Lost * Cancelled * On Hold 2. Interactive Geographic Dashboard A key part of the assignment is a professional interactive world map. The dashboard should allow management to view proposals by: World → Continent → Region → Country → Individual Proposal For example, selecting the Middle East should display the countries where we currently have opportunities. Selecting Saudi Arabia should then show the proposals and their respective statuses and values. The map should preferably use different visual indicators for: * Open proposals * Won proposals * Lost proposals * Proposal volume * Proposal financial value * Success / win rate The visualization should be clean, corporate, and suitable for presentation to company management. 3. Management Dashboard & KPIs The dashboard should automatically calculate and visualize key business development indicators, including: * Total number of proposals * Total value of proposals * Total open pipeline value * Number and value of proposals won * Number and value of proposals lost * Win rate by number of proposals * Win rate by financial value * Average proposal value * Proposals by region * Proposals by country * Proposals by client * Proposals by sector / project type * Proposals by responsible person * Proposals by status * Monthly / quarterly / annual proposal activity We would also like to see historical trends, for example: 2024 vs. 2025 vs. 2026 showing how our pipeline, proposal volume, proposal value, and success rate have developed. 4. Filtering & Drill-Down Users should be able to interactively filter the dashboard by: * Year * Date range * Continent * Region * Country * Client * Sector * Proposal status * Proposal manager * Proposal value * Won / Lost / Open Selecting a country, region, or chart should dynamically filter the rest of the dashboard. 5. Success Probability & Forecasting Each open proposal should have an estimated probability of success. For example: * Proposal Value: €500,000 * Probability: 60% * Weighted Pipeline Value: €300,000 The dashboard should therefore show both: Gross Pipeline Value and Probability-Weighted Pipeline Value This will allow management to better understand the realistic potential value of the current business development pipeline. 6. Data Entry & Maintenance An important requirement is that the system must be easy to maintain internally. We do not want to depend on the developer whenever a new proposal needs to be added. There should be a simple method for authorized staff to: * Add a proposal * Edit an existing proposal * Change proposal status * Update probability * Update financial value * Add comments * Update expected award dates The underlying database should be structured so that additional fields can be introduced later if required. 7. Dashboard Design The graphical quality of the dashboard is important. We are looking for a modern, clean and professional corporate interface suitable for an international engineering consultancy. The system should not look like a standard spreadsheet. We expect good use of: * Maps * KPI cards * Charts * Pipeline / funnel visualization * Geographic visualization * Trend charts * Status indicators * Interactive filters * Drill-down functionality The final dashboard should be suitable both for day-to-day business development management and for presentation during management meetings. 8. Future Expansion The architecture should preferably allow future expansion, such as: * CRM functionality * Client/contact database * Automated reminders for proposal deadlines * Follow-up tracking * Business development activity tracking * Project award conversion * Integration with Microsoft 365 / SharePoint / Teams * Automated management reports * AI-assisted analysis of proposal history These features are not necessarily required for Phase 1, but the initial architecture should avoid making future expansion unnecessarily difficult. Deliverables The selected freelancer will be expected to provide: 1. Database structure and data model 2. Interactive management dashboard 3. Interactive geographic/world map 4. Proposal entry and update workflow 5. Automated KPI calculations 6. Filtering and drill-down functionality 7. Initial configuration using sample or existing proposal data 8. Final working system 9. Training / handover session for our team Freelancer Requirements We are particularly interested in freelancers with experience in: * Power BI / Tableau / similar BI platforms * Database design * Interactive geographic dashboards * CRM or sales pipeline dashboards * Business development reporting * Data visualization * Microsoft 365 / SharePoint integration * UX/UI design for management dashboards Experience developing proposal management, sales pipeline, tender tracking, CRM, or business development dashboards would be a strong advantage.
